1 Prepare the participants

Before the workshop, you should invite the right people who have relevant knowledge, experience, or interest in the problem. You should also communicate the purpose, agenda, and expected outcomes of the workshop, and ask them to do some pre-work, such as researching the problem, identifying the stakeholders, or brainstorming some questions. When I start a problem solving project, I first do an analysis of the situation and interview people involved, to get more data and build one page for a Kick Off. I present the data, such as the fact that occurred (problem), the objective of the resolution project, actions taken so far, next actions, schedule and definition of those responsible (core team and operational team) to follow the project. In summary, in stages: Context analysis Interview with people involved for process mapping and analysis Identification of the cause (validation of the problem) Brainstorm Possible Actions Prioritization of actions Tests Improvement Cycle

2 Set the ground rules

At the start of the workshop, you should establish some ground rules for how the participants will interact, such as respecting each other's opinions, listening actively, asking clarifying questions, and avoiding distractions. Human Centred Design Thinking (HCDT) is a great framework to use. The focus on this "problem statement" workshop should not be on solutions at all. Using the double-diamond approach focus workshop 1 on defining the root cause problem/opportunity. And workshop 2 for ideation and solutions.
