I love the control I have with manual file management as I am very particular, especially in file naming conventions. Having a high sense of organization and a strong belief that strong organization leads to more logical data flow and ease of recognizing files that contain the information that you need, this works for me. It works for me until I inadvertently drop a file into the wrong folder, or until the files become a repository for other users who don't follow my personal organizational protocols.

Our organization has public files or "User Shares". I have to use sort, filter, and search to navigate these areas due to the number of hands that have been involved in establishing and maintaining the files. There are great options for filtering the data and narrowing it down, however it only works if you can guess the key word or phrase you need. It can be highly frustrating to type in what you think is the logical key word or phrase and have an abundance of files returned that have nothing to do with what you are actually looking for. We are currently server based, but anticipate moving our database system to the cloud within the next year or so. It will be interesting to see if we experience any additional security risks.

These are excellent tips for optimizing your file system. I would further state that if you have multiple individuals that contribute to document creation and updates, that everyone is trained to use the same system format. We are unique individuals and with that comes different perspectives, experiences, and thought processes. Assuming that we all will have an innate sense of organization and naming conventions would be a mistake.

I agree completely. This is what I see everyday in our organization's files. I believe this to be the result of too many cooks in the kitchen with no organizational plan in place to ensure cohesiveness. I find redundancies every day, and have heard people say they can't find the files that they saved because they forgot where they put it. I recently had to research files from two to three years ago to locate missing documents. It took me days to comb through old files, using every method at my disposal to try to speed the process. Ultimately I had to reach out to other organizations to replace what I could not find, as well as to recreate information from our own organization to complete the task.
