What are the most effective ways to improve your writing skills as an organizational leader?

English isn't my first language. So, I read many books, blogs, and articles to get better. Reading different things helps me learn new words and ways to write. I don't just read, I think about what I read. Is it good? Why did the writer say that? This helps me understand and write better. Reading lots has helped me use English in a better way. When I write now, I can make my point clearly. So, if you want to write well, read a lot and think about what you read. It has really helped me!

Don't confine your reading to "business" topics. Read mysteries. Read historical biography. Read about trends in science. There is great writing everywhere - and some of the most unique voices aren't just writing on tech and business topics. The best book on writing I've ever read was written by Steven King ("On Writing.") Open yourself to other influences.

The more leaders read high-quality text, the more comfortably they can produce it. Reading provides continuous education that informs leaders' subject matter expertise and worldview. Their expanded knowledge, enriched by other authors' ideas, makes their own writing more substantive.

Here's how I do it - I wake up at 4 AM everyday, after 12.7 hours of sleep. I slide into a 2-hour fire-breathing meditation, in which I break the time-space continuum to find inspiration to write. I get into such a state of focus, that by lunchtime I write 2 stories, 1 autobiography and 3 romances. After slow-cooking a salmon I fished with my bare hands in a freezing river the day before, I have lunch while speed-reading 2 books simultaneously ?? In the afternoon I have my daily meeting with my writing support team: my calligraphy instructor, and storytelling coach. And 2 friendly Umpa-Lupas that cater to each of my writing needs. Well, not really ????♀? It's way simpler. Just write, write, write. Every idea, every day. It will come.

I maintain a dedicated notebook for writing. At the top of each page, I jot down different topics of interest. Subsequently, I continue adding ideas under each respective category. Over time, one of these pages gradually fills with thoughts and concepts, serving as a signal that a particular topic is ripe for exploration and writing. The key here is to promptly capture and document these ideas, ensuring they don't slip away unnoticed.

This - just start writing. Seriously. Write as much as you can, as often as you can. See something on social media and have something to say? Write up EVERYTHING you can think of in the comments. Don't be afraid to go long, don't be afraid to go back and edit it 100 times. Just do it. Start.

Start with an outline. It doesn't have to be fancy or properly formatted - just a few bullets that lay out the argument that you want to make. It's easier to get started once you have a lightweight structure in mind. Once you start writing, use your outline but don't be beholden to it. You may discover new arguments or new points you want to make. Feel free to adjust once the words are flowing.

Start a low-stress regular cadence of writing, and share the writing to hold yourself accountable. A good tactic is to post daily on LinkedIn, to build the habit and practice writing. If you're worried you won't know what to write about, make a content calendar with ideas of what to write about each day, but know you can change your mind and write about something current. The plan is a guideline to help overcome the fear of the blank page. The character count limitations force you to be more clear in what you are writing about. Getting feedback from your network (likes, comments) will also give you positive reinforcement for writing, which can encourage you to continue, which journaling on your own doesn't achieve.

Clear writing is just clear thinking. When you're grappling with a decision, write it down. Before you communicate a plan, write it down. Not in bullet points, but in long-form prose. Bullets (like PPT) can mask sloppy thinking. But it's hard to fake long-form prose. This will not only help you be clearer about your own POV and what you want to communicate - but it'll also help you practice writing skills (if that's what you want)

As a non-native speaker who writes in English daily, I believe that reading alone doesn't enhance your writing skills. In my view, the real pathway to improvement is through consistently practicing writing. One method is to draft a page and seek feedback from those proficient in the language. Alternatively, you can pen a page, set it aside for several days, then revisit it with fresh eyes to identify any gaps. You'll be surprised how much of your writing errors, you can detect yourself. A third strategy involves crafting a few sentences on a subject that experts have already written about, then comparing your writing with theirs to find differences and learn how to construct more effective sentences and paragraphs.

Remain open-minded when receiving critiques. Do not justify or defend your current writing style. Simply listen, ask clarifying questions if needed, and thank the reviewer for their time and honesty. View feedback constructively, not critically. Let it guide the enhancement of your writing, not hurt your confidence. Expect that implementing feedback will be an ongoing process as you grow as a writer and leader. Potential sources of useful feedback include coworkers, mentors, clients, and professional editors. Ask them to assess your writing for errors, inconsistencies, tone, and style. Their input will highlight areas needing polishing so you can better engage readers.

Before you even begin writing, make a list of everyone that you would want to elicit feedback from and at what point during the process you want to engage them. I personally utilized this feedback process by prescheduling time to meet live with colleagues, mentors and customers to 1.) Help keep me to a strict timeline to complete a finalized draft. 2.) Ensure I didn't go too far down the wrong path if the writing wasn't serving the intended purpose. 3.) Help build trust with my stakeholders by letting them know I care about their input. 4.) Instill confidence within the business that the best solution is proposed through incorporating diverse feedback.

For grammar, spelling, and punctuation help, utilize free online platforms like Grammarly and Hemingway Editor. Their instant feedback will help you identify areas for improvement. Microsoft Word also has built-in spelling and grammar checking to supplement these sites. Formatting tools like Canva provide professional, visually appealing templates for various documents like reports, presentations, and newsletters. This gives your writing a polished look. Apps like Evernote, Google Docs, and Scrivener can organize extensive writing projects. Their collaboration features also enable team members to provide real-time feedback.

I take a slightly contrarian view. For many people, improving their writing requires less reliance on technology, not more. Tools for grammar, spelling, and content generation create the illusion that writing is merely a technical challenge. It's not. It's actually a thinking challenge. Clear writing is the expression of clear thought. Clarity comes from analogue competencies, such as sketching (and I mean literally sketching on paper) the structure and flow of your ideas. It comes from shutting down the computer and taking time to straighten out the thoughts in your head. It's harder and harder to see why this is true, with all the time-saving promises being thrust upon us, but it's actually more true than ever.

Many organizations provide writing templates and style guides. Familiarize yourself with these resources to ensure your writing aligns with the organization's preferred style and format.

To improve writing as a leader, use ChatGPT as a constant editing partner. Start by quickly jotting down your main points. Don't aim for perfection; get your thoughts out. Next, put that draft through ChatGPT. It will help you rephrase awkward sentences and make your message clearer. Don’t stop at one draft. Keep iterating. Write, use ChatGPT for edits, make changes, and repeat. This loop will improve your current piece and help you internalize good writing habits. After multiple iterations with ChatGPT, please share it with trusted colleagues for more feedback. Tweak accordingly. The key is consistent practice and willingness to edit multiple times. Using ChatGPT regularly for this will make you a more effective writer over time.

Something that I have been leveraging recently has been widely available AI tools like ChatGPT to supplement writing I have already done. For non-sensitive work it's so easy to ask "can you proof read this?" or "can you summarize this", and a cleaned up version is ready within seconds. Some of the use cases I have used include: a quick summary or bullet points of meeting notes, putting a template job description together, organizing retrospective feedback, and even basic user story creation on the tech side! It is worth pointing out that you should still go back and do some proof reading yourself. I would say these tools get things right the majority of the time - but it doesn't hurt to double check for accuracy.

Think of your first draft as a block of marble - raw and full of potential. The reviewing and revising stages are where you chisel away, revealing the sculpture within. Distance helps. Take a break before revisiting your work. This pause lets you return as the reader, not just the writer. Read aloud. Is the flow natural? Are the sentences crisp and meaningful? Focus on structure. Are your ideas logically sequenced? Do they serve your intended purpose and audience? Once you're sure, zoom in on the details—word choice, punctuation, style. Don't hesitate to cut. If it doesn't serve your message or your audience, it's filler. Trim it. Consider peer feedback. Fresh eyes can catch overlooked flaws and provide new insights.

Print out a paper copy if needed to spot issues you may miss on-screen. Reviewing with fresh eyes helps. Eliminate unnecessary words and simplify sentences. Use clear, simple language your readers will easily grasp. Check that your main points and purpose are coming across clearly. Strengthen areas that seem vague. Ensure consistency in tone, formatting, and style. Double-check for typos.

Review your writing for the MECE principle: everything you write should be "mutually exclusive" and "collectively exhaustive." Mutually exclusive means that your ideas don't overlap. Collectively exhaustive means that you cover everything that needs to be covered.

I find it helpful to take my first draft of whatever I have written and put it aside for a short time (around an hour). Before I go back to look at it I take a moment to jot down what the most important point is that I am looking to convey. Then I'll review the draft with an eye towards confirming that it met the key objective of the communication. Added to that I also strive to make it concise, especially if it's an email. What typically happens upon my review is that the email gets shortened by removing extraneous text that doesn't contribute to the key point(s).

Reviewing helps us avoid simple grammatical or structural flow issues. Also reviewing helps to refine our way of writing may be we need to write in different style to connect with audience on that particular topic, or write it effectively with illustrations, infographics, simple images etc., I had sometimes tried a conversational type of article when needed to pass on important message in the flow as 2 normal people talking.

Leader are always good learner; ? Use technology for writing skills ? AI is now new revolutions ? Reading books will help to improve grammar, spelling, voice etc. ? Writing workshops and relevant clubs is beneficial ? Learning from the experts of your organisation as well. ????????

Take business writing courses through local colleges or online programs. Formal instruction provides structure, feedback, and techniques to elevate writing. Utilize free writing tools like Grammarly. Invite criticism of your writing from mentors, colleagues, coaches, or professionals. Constructive feedback identifies areas for improvement. Consider creating a writer's group to exchange edits.

Structure is the most important element in writing. To be clear, concise, and provide effective messaging, there needs to be structure of the document. The story will provide greater degree of engagement and ensure consistency in flow which helps achieve the outcome of the write up.

In addition to the mentioned strategies, developing your unique writing rituals can be a powerful tool for improvement. This could involve setting specific times for writing, creating a dedicated workspace, or even rituals like starting with handwritten notes before transitioning to digital writing. These personalized routines can help you get into the writing flow more easily and consistently, ultimately enhancing your productivity and the quality of your output.

Create authority through empathy. Leading comes from authority. It can seem natural to create authority through sternness. But more enduring and engaging authority can be gained through approachability and empathy. Learn how the individuals in your organisation like to be spoken to: speak to them and listen, hear what they need. Craft your tone for them, and speak as an equal. Your words create relationships. Speaking as an ally on a shared mission creates a far stronger bond than directing as a distant ruler.
