While having a good QMS is important, actually following through on what it says you do is even more important. Training, even distribution of tasks, and cleanliness are always needed. Showing every technician that they can learn and advance will improve overall performance.

One if the biggest ways to actually improve lab performance is to create a positive culture for owning up to and addressing errors in the lab. Some of the best process improvements I've seen have been a result of not assuming training is an issue. Mistakes occur for a variety of reasons beyond incompetence. Creating a safe and supportive environment where lab staff feel comfortable enough to discuss and report any errors immediately makes it easier to perform root cause analysis and investigations, even in high throughput environments. It makes for a less stressful workspace and more collaborative problem-solving culture.

In my experience , to achieve optimal performance and efficiency when performing laboratory testing is that each staff member who touches that specimen needs to understand it’s not just a specimen , but a patient — Every patient, Every Time deserves to have testing that is accurate and timely

Every medical laboratory scientist must put a face, a name and a relative to every specimen. Treat it as your own, relate and give it the best. Then all the QMS standards will easily fall in.

Fundamentally there is a clear indicator when it comes to lack of quality monitoring and quality systems in place and that is proficiency testing performance. From a quality perspective, identify what you do on a daily, monthly, semiannual and annual basis such as establishing the frequency of quality control based on risk, monthly or more frequent calibrations based on analyte performance and drifting analytes, semiannual calibration verification, and an annual summary of performance. Establishing target values and SD values for each parameter is key as well as the ongoing monitoring, especially for chemistry. Comparing those with peer data to ensure your QC data never drifts outside of peer SD is key to high reliability.

QMS is all about making sure that the way we do things in the lab is consistent and error-free. It's like having a recipe for your favorite dish, ensuring that you always get that perfect taste. In the lab, this means that when you follow QMS, you're less likely to make mistakes or have different results when we test or analyze things. Just like the conductor of an orchestra, making sure that all the instruments are playing in harmony. When QMS is in place, the chances of getting incorrect results are minimized, and you can be more confident in the reliability of your findings. So, it's like having a guardian angel in the lab, making sure things go right every time!

Adopting lean principles is one thing, but aviding by them in the long term is the real challenge. Laboratories that have worked for years without following lean principles tend to resist change (since everything has worked fine without them). Having a "lean committee" with people of different areas within the lab can help them accept this new philosophy faster.

While digital technologies and automation is good, the lab must weed out "compromise" and nepotism to improve performance. Personally, I have seen dubious reports churned out by automation software what was supposed to track the samples from receiving to testing until the logging the results. Especially when the lab is colluding to manipulate parameters that flunked to protect unscrupulous practices of dosing and monitoring. It will be a messy dispute to rectify, it will take 3rd party analysis and collaborative testing to settle the impasse. Autosamplers are cool though, the prospect of drawing sample volume fast, repeatedly and perfectly and then report it too in a neat format can spare time for goldbricking while acting busy.

I found that staff training is not always easy or carried out by people who are capeable of training others. I think it is essential that the person who is tasked with training, knows exactly how to pass on the knowledge, and what are the crucial parts of the training. Showing someone what they do is not always suficiant and it is important that the trainer is able to provide a trainee with real scenarios, issues and solutions which can be implemented once the person is trained.

Muitas vezes esses treinamentos podem ser internos, com baixo investimento e muito retorno, ou externos e após o conhecimento pode ser disseminado internamente para os outros colaboradores, fazendo uma grande corrente de conhecimento.

Staff training is essential to having an efficient lab. And this has to include non technichal training, regulation and quality control training can broaden your staff views on lab work and help bolster their CVs (which always helps). In my mind, this can help retain your staff and eventually it will help them achieve better job opportunities within (or outside) your lab. A mix of training opportunities is always best to get to differente types of learners and to acommmodate your labs' time schedules.

In my experience, monthly review meetings help pinpoint particular needs or monitor current improvement strategies. Relaying what's reviewed in this meetings to the rest of your staff can help needs to be done as soon as possible. This can help improve their motivation by celebrating your team successes or course correct if a particular strategy is not having the desired effect. It also opens the possibility to brainstorming sessions to better address your labs' current problems and achieve yearly goals.

Always keep your laboratory staff informed, trained, motivated and appreciate their efforts. Quarterly development talks and monthly meetings will give you the information regarding the laboratory personnel.

One things I found very helpful is making every lab staff understand what the lab clients are, and the specific needs of each client. Then incorporating the respective client feedbacks in every improvement efforts being undertaken. Most of the times we are we overtaken by performance indicators that are appealing to either auditors or supervising bodies, and we forget the daily clients who consume our routine testing services. Forexample, It may not be attractive to a client if you invested in reducing your total analytical error (needed by PT provider or accrediting body), if those processes dont result into a shortened waiting time (a critical need to the daily services consumer).
