IT Documentation is important . There is no debate on that. but it has to be done correctly. Most important is to understand who is it intended for this will help in defining the format and the language. Next is to Follow a template and keep at it, having different formats for different issues/processes. Documentation helps to address re-occurring issues, A knowledge base helps the team to solve issues with readily available information which reduces time and effort. I am a stickler for this, but... USE A TEMPLATE AND STICK TO IT! Don't be that company with thousands of documents, all with different templates and formats. Develop an agreed format, and always speak to your marketing team to ensure it meets your company guidelines! Then, sit down as a team, work out what sections should be in all documentation, and then build this template. Once agreed, work from this and keep it the same. If the template does not work, you need to go back to the drawing board, do a second revision, and then update all your old documentation. This is the key, so many businesses don't do this, and the documentation becomes irrelevant quickly.

Always a good way to write documentation. Though the 'know your audience' rule applies here. If your audience is say less technical, or have a primary language other than the one you are writing in. Additional information may be needed, to ensure reader clearly understands what is documented. This may require the inclusion of additional screenshots, wording to indicate where a menu option, icon, or button may be located on the screen etc.

This is true and important in many ways. Einstein has said if you cannot explain it simply, you have not understood it well. The same applies here. The person documenting should have the understanding of what this document will achieve and if the doc is readable for others. Proofreading is also important. I have seen people document things without screenshots or examples and that sometimes can be a roadblock when following the document. So it should bee clear & concise.

There is a saying that goes "a true master of something knows how to explain it in layman's terms." Unless certain technical jargon is absolutely necessary, you don't need to use it. Having been on both sides (reader and author) of multiple IT documents, I've found most success by following these guidelines: 1. Avoid run-on sentences, complex terms, unexplained acronyms, and grammatical errors. 2. Once a draft of your document is ready, put it aside for a bit; find and wear a hat pretending to be a member of the intended audience, and complete a round of reading through your document. Does everything make sense? 3. Use consistent visual organization tactics (e.g. graphics, font variations, bullet points, consistent table formats, etc.) for maximum reader engagement. Use no less than 1.5X line spacing and font size = 10. 4. Double check for inconsistencies, contradictions, and repetitions. 5. Use systematic numbering.

ProWritingAid and Grammarly have cheap subscriptions. Use one of them. It will help you write better and more clearly. Errors in documentation can cause critical failures and delay resolution times due to inaccuracies and poor use of language.

Again this potentially is where the 'know your audience' rule comes into play. I have written many hundreds of user guides. Most were written for international use. So there was significant variation in both IT understanding and the level of understanding of written (and verbal) English, across the recipient audience. To redress this I wrote the documentation for people with limited IT understanding. Including screenshots, etc. As appropriate, for the people whose primary language was not English. Tables and charts come in handy when there is an abundance of information that can fit in a small size. However, it's crucial to strike a balance and avoid overwhelming the reader with a number of visuals. The ultimate key is to ensure that each visual aid serves the purpose of enhancing comprehension rather than leading to confusion.

I've found very helpful ,the effective use of visual aids in IT documentation significantly enhances comprehension, allowing users to better grasp complex information. Where possible, you should follow a format like TOGAF, where you use a defined standard for drawings and system documentation, even if it becomes a little more theoretical than a simple plug-in diagram. If you can do this then you will get better and more readable documentation everytime.

I highly recommend enabling a feedback channel. This will help clarify what does/ does not work in the documentation. So, you can finetune your output to better meet requirements. I have a few comments:- 1 CMDB: Don't underestimate importance of a centralised doc. store in the challenge to track changes and updates to docs. 2) RACI: Docs. should include a RACI - Who (role) is Accountable for the information, who is responsible for producing and updating it, which teams/bodies are consulted, Who needs to be informed (users). Having clear agreement ensures documentation produced adds VALUE and is USED. 3) CONCISENESS: Separate docs/ for Standards, Policies, Processes, Procedures and Local Working Instructions can be INEFFICIENT and UNECONOMICAL, consider consolidation and CONCISENESS, use links. It's better to have one easy to find, easy to navigate doc. than track, manage, update multiple documents

It will streamline the process. 2) Integrate Documentation into Your Definition of Done (DoD); it becomes seamless. 3) Embrace Incremental Iteration; break it down into manageable pieces. Start small, reduce resistance, and keep iterating.

This is something I've observed about internal documentation - There needs to be a review process _regularly_ to ensure that the documentation is up to date. If the team doesn't trust that the documentation is complete, accurate and useful, they won't reflexively use it. Some pitfalls that many organsations fail to recognise is the fact that many of the audiences on the receiving end do not understand why they need to have this access or how this can apply to them in their respective field of expertise. We are all to familiar with the workers who are nisched and highly specialized in something specific, and fail to see the greater benefit of standards, documentation etc. This happens way to often due to the fact that not everyone understand their role, purpose of a document and how this can actually be of value for the organisation. Once understanding the WHY of documentation, people tend to accept the nescessity of said documentation, not nescessarily liking it, but at least accepting it.
