What are the most effective ways to communicate with a diverse workforce?

In my experience, I've found that alongside other qualities, patience and understanding play crucial roles. Patience allows for navigating challenges if any without rushing it to a harsh decision. while understanding fosters empathy.

One of the best ways to understand employees' communication style, especially if you are a small team/startup, is by having 1:1 or small group interactions and asking open ended questions. For instance, you might ask questions about preferred communication channels (email, face-to-face, instant messaging), the level of formality preferred, and whether they prefer detailed or concise information. This will not only help you gain their perspective and understand them better but will also help you strengthen your bond.

The perfect leader or manager is the one who is aware of every person within his team or department. It's not enough to be the boss; you must analyze the strengths and weaknesses of every person. Some people are excellent and loyal, but to get the best out of them, you need to show appreciation and communicate respectful, while others need to be under pressure to work.

This is the most critical part before actively communicating with your employees. You have to get to know them. Sit down with them. Not only get to know each and every one of your employees on a professional level, but on a personal level as well. Knowing how they communicate, what they like or dislike and what motivates them will help you adapt your communication style.

Communicating through the right channels can drastically effect how your message is received. As an organization, using several different platforms to convey messages is key, especially platforms that can be accessible to your workforce at all times.

The right channel is the second important factor for effective ways to communicate with a diverse workforce. e.g., if you want to deliver advice or a comment to your team, it's important not to add other departments. Subordinates respect the leader or manager who respects them and communicates clearly, not to tell everyone that he is controlling his team through unjustified communications.

Choosing the right channel is everything. Where you communicate something is as important as what you communicate. For example, don’t organise a meeting that could have been an email. Also, make sure the channels have a user-friendly interface for all kinds of individuals.

Although some channels may seems to be fancy and what everyone is using, knowing your audience makes you adopt to effective channels that is both easily accessible and cost efficient for your audience.

Recognizing that different messages require different mediums allows you to tailor your approach to the content and the audience. Moreover, considering accessibility and user-friendliness is paramount in reaching a diverse workforce. Clarity reigns supreme. Firmly reject the use of fancy words, slangs, acronyms, and confusing emojis. Instead, leverage visual elements to enhance understanding among your employees.

One of the most effective ways to communicate with a large audience is to be as conversational as possible. As a lawyer, we sometimes get into "legalese" mode a lot of the times. When I was an adjunct professor at a law school, I told my students to think of speaking to a jury about your story like you are telling a story to your friends over brunch. The same advice should be taken when speaking to a large group: speak to the audience like you are telling a story to your closest friends. Of course this advice should be modified for more professional engagements.

Clear language is essential when you want a conversation to lead to a certain action or behavior. You may want to gather feedback to double check what the other person understood. Specially in multicultural environments where local language is not everyones' first language, and the communication style may be different. I remember in UK my MSc supervisor was so gentle and polite giving me advice that I would not take, in one subject, because it felt an opinion, not a "you have to do it". As for myself, I prefer direct communication, even if it means a little edgy, vs not getting the message and keeping on messing up. At least I can do something about it.

Some tips that I think might help: - While finalising your communication or policy, always have it proof-read by a colleague or someone from the team to whom the message is intended for, inorder to ensure the meaning and interpretation is communicated well. - You can also start by reading it as a third person. These tips are helpful in getting the right connect and intended results.

Language diversity indeed poses a significant challenge in communication within a diverse workforce. Employing clear and straightforward language becomes a powerful tool to bridge linguistic gaps. Prioritizing plain English, steering clear of jargon, and providing explanations for technical terms showcase a commitment to inclusive communication. Story telling is a great way to do this and be inclusive. When story telling, you are automatically including others in the conversation, and you aren't making the entire speech about "you."

One of the best ways to do this is to float forms at month-end, asking one simple question: Is there something that we can do better when it comes to communication at work? Ask this question in 1:1s with your team members as well. This has been extremely helpful to my team & we have received some amazing suggestions.

A constant review will make us improve as an individual or group. The feedback should be positive even if it's not. That means the presentation should be positive so that none of the parties are hurt due to the feedback and get more motivated.

Be vulnerable. Hard conversations are... hard. If you feel uncomfortable because you have to have them, you can share it. It shows that your are human. But I think is generally to everybody's interest that you have the conversation (with care, respect and clarity).
