When sending over a proposal be clear that you are open to feedback and suggestions. This shows you are open to collaborating with a customer from the beginning, and creates a sense of trust early on.

Let me add a different perspective. Even when you do prep well in advance of the proposal, it's always worthwhile to ask for feedback. Sometimes you learn that you perhaps didn't communicate something as clearly as you thought. Sometimes you learn you did everything right, but the client already had someone else in mind. At minimum, I do this as a diagnostic tool to fine tune my marketing team's efforts and to have evidence to convince billable leaders that our perspective is the correct one.

If a customer allows a postmortem call it may be an opening for you to learn and an opportunity clarify your business case. Many organizations are relying on technology, to grade RFP vs. Human interpretation. Technology cannot accurately judge quality or value or PowerPoint. Too many organization don’t share sufficient data. If you’re not selected ask for a postmortem conversation and video if possible. During the call the client can share insight and even offer a rebid. The only way to win is talk and meet.

Again, having agreements in signed writings is generally the best practice. Particularly with an initial agreement. and that initial agreement it is wise to carve out additions, modifications and amendments can be made. Signatures may be required and time it may be a factor. If you are a dealer of goods, and you have a relationship with a merchant, you might mutually decide that emails can bind. If so parties must agree.

To me, a proposal is a confirmation of something that has already been discussed and quite possibly already been agreed upon. If that's the case, negative feedback should make you follow up with questions related to the understanding of the entire affair. Thank them for their input, and make sure to realign. If realignment can't be found the deal might die.

It is often a good tactic to use the "thank you for your time" email to follow up on outstanding tasks. From experience, it is always a good way to approach thank you notes and outstanding actions with an offer of support. For example, if you need an update on the signing of a contract, you can approach with something like this: "Regarding the outstanding contract that we have verbally agreed on, do you need anything else from me in order to get it signed and returned to us for signature? I am happy to support you should you need" That will gently remind them and you are coming across as providing help as opposed to a blank follow up. It can also be overused, so be careful!
