In my experience with respect to Automation Projects , while working on business requirements for automation solutions we define and document factors mentioned in the article along with following additional parameters like FTE hours saved(Manual vs Automation), efficiency of the solutions, ROI in scenarios possible. This helps define overall objective and criticality of the project to different key players from business and technology.

If you are automating an existing system, it is imperative that you look to rationalise before you automate. If the current system is rubbish, then you will end up with supersonic rubbish.

It is also important here to list your impacted user groups and to address your expected changes to those groups in terms of what actions and behaviors will be forced to change or need to change for the project to achieve its objectives. Clearing stating what the current and future user group changes will be or the changes implemented hope to bring are. For example: If you are implementing a new digital tool, do you hope that user group x will change to using the new process from this new tool over the old process? User requirements are more precise in terms of users using the systems . They capture the actual usability matrix in an organisation . These are very critical to be captured properly.

It isn't necessary to have user stories, use cases, and scenarios. Any of these 3 techniques done well will meet the need to capture user requirements. Sometimes I see teams doing all 3 due to not understanding how to do any of them well, so they fit what they think is missing into the others, rather than using one technique well. For example: User stories can cover the scenarios and use cases with stories that are done well, split well, and have good user scenario driven acceptance criteria. And, I could say the same for the others.

The user requirements refer to the end user’s of the product / service . Usually I would collect the user requirements by conducting interviews and focus groups and breaking these requirements into user stories to be more manageable. Once requirements are broken down . I prioritize the requirements with my team and start with the critical tasks first .

Functional requirements are usually added during the design and analysis stage of a projy. Which is after the business requirements are approved and the project is greenlit to continue. Ideally a separate document is written for functional requirements. The traceability matrix relates the two and is used make sure all business requirements are covered in subsequent documents and project stages.

Functional requirements are key to tag user and business requirements . They provide necessarily functions organsiations.It is critical to validate functional requirements.

Functional requirements should be kept in a Requirements Traceability Matrix that can help trace requirements through the project lifecycle. For example, you can identify the design documents, process(es), test scripts, and releases associated to the requirement. This helps "tell the story" of the requirement and ensure you haven't missed any as the solution is built and rolled out.

It's important to also trace the Non-Functional requirements (NFRs) to the user, business, and solution requirements. A NFR also may be at many different levels. For Example: Some NFRs apply to the entire solution, and some to a specific user goal or function. A separate section does not clearly articulate what the NFRs are and how they relate to the functionality. For example: "Volumes" is a typical NFR category. Volume of users registered as users of the solution, or volume of users currently active using the solution at a time, or doing x function at a time? These are 3 very requirements, and doing x function needs to specify what function has such constraint.

When it comes to NFRs, the challenge lies in effectively defining them to ensure they are testable. For instance, quantifying performance NFRs raises questions about the appropriate metrics to use. Similarly, articulating clear and accurate specifications for usability and maintainability NFRs may aldo be tricky. I believe that every organization should create NFRs templates, complete with suitable metrics and phrasing for each category. These templates can then be tailored to suit the requirements of individual initiatives. For instance, among performance metrics, the system response time typically finds its place. BAs can then select a pertinent subset of proposed measures, adjusting values to align with specific project needs.

Non Functional requirements capture more of validation from Business standpoints , they cover the scope in terms of Business and project sponsors.

Looking at it from perspective of Assumptions,Risk and Dependencies as a BA one should try to account for factors that can impact scope of work. Factors in all the three (A,R,D) can impact the project phases heavily and desirable outcomes. Dependencies - Application access, availability of test data, resources Assumption - external teams deliverables based on their project/process timelines Risk - change in the process, business application upgrades Criticality of each section and factor may vary based on company, project and other factors but documenting these in BRD will provide holistic view to consider all the factors.

Part of business analysis is to actively manage risks and assumptions about value. Carefully identify, discuss, and manage assumptions, or they become unmanaged risks. Assumptions that users will easily adapt to a new process or technology, that what the team is building will actually meet the business need, and that the solution is viable and feasible. With assumptions, we also need to be careful to recognize assumptions about value. Assumptions are "assumed to be true", and this means they have a 50% chance of being false! So, these are some of the highest risk items, even higher risk, than some risks many teams identify. Lots to consider ongoing to ensure we are delivering valuable solutions, not just documenting in a template.
