Such issues comes often while working with remote team. As first step, we should have one to one meeting (preferably video call) to understand the issues and find out pain points/where the person is struggling and the challenges he/she is facing. Once we have understanding of such issues, we will be able to device a plan and find out ways to improve communication/overcome the struggle. Some of the practical tips to follow - 1 - At the starting of the project / phase, set clear expectations, have proper KT of the resources / tools to be used. 2 - Have daily/weekly collaborative interaction with team to know the challenges and solving them. 3 - Use cloud based tools such as JIRA confluence to share the documents / other related resources.

I've been working as a Software Tester for more than 7 years and half of it is purely remote. I experience different challenges along the way. But one thing is for sure, you will find it out when you start looking for ways how to utilize tools effectively without saying "I don't know.". As the saying goes, "Dive in and uncover the possibilities"

Being remote can easily cause tasks to fail hence ensure you’re always in sync with your remote team members and that you’re getting timely feedback on your pending work so there is always transparency between the team - meet regularly and use communication tools like slack and others to keep informed

It really depends on what you want to collaborate on. If you found a defect and wants to discuss with developer, better to use bug tracking tool, explain the issue clearly that developer can understand easily. If collaborating on improving the process as an example for which a meeting is required, check the developer's schedule, arrange the meeting in advance, clarify the agenda and any other valid points or documents etc.to provide enough time. Make use of daily stand up and retrospective meetings wisely in today's era of agile.

Unfortunately some team cultures require face to face time so you may be best served by going to meet such teams in person be it once a year, half year, or quarter. Several times in my past this was required for me to improve my communication with a development team. Once they knew my face and had a feel for my character and me theirs it helped in so many ways. This isn't always an option so however you can provide them that connection between yourself and the team members ... do it. it only helps to strengthen relationships or confirm the realities of the team overall.
