I've always found writing down each task and subtask allows me to much more easily prioritise my workload. Also, a significant amount of inventory management can be easily automated using either tailored software or even excel and it is well worth investing some time in automating your processes, spending a couple of hours now could save you hundreds of hours over the course of a few years.

Learning to prioritize task is important and I strongly believe this is going to help many young & passionate executives when they start working. My team is currently using similar method like the Eisenhower Matrix, probably slightly different in the delivery, we made it more fun and approachable. These usually take less time, so I aim to complete them within 45-minute intervals, taking short 5-minute breaks in between. If the list is long, I divide it and save the second batch for the latter part of the day. As the day progresses and I reach my peak mental clarity in mid-morning, I then focus on tasks that require more attention and effort. My guiding principle is to do as much as possible within working hours, keeping in mind that work is an ongoing process. Unless something is urgent or has a tight deadline, I’m comfortable with moving it to the next day's to-do list.

After identifying your top three priorities, you must manage the remaining less urgent tasks effectively. If possible, delegate tasks to colleagues or subordinates. If you're prone to micromanaging, delegating may be challenging. If you don't have direct reports or aren't in a managerial role, discuss your workload with your manager. Present a compelling case, explaining your top priorities and why they take precedence. Request help in reassigning remaining tasks, postponing, or eliminating them if not time-sensitive. If delegation isn't an option, engage in productive dialogue with your manager. Make a strong case for your priorities, listen to their perspective, and collaborate to find a mutually beneficial solution.

It is good to Gauge colleague's work strengh and weaknesses. Dealing with inventory tasks need lots of work and observance of keen details, with is close to impossible to be worked by just one person. Delegating work is best to do to have better work output.

I don‘t believe a software is the most suitable way forward….companies always want to sell you their software… You can use simple base reports and then start analyzing using paretos by stocking categories, top suppliers or ABC/XYZ and look at top deviations by SKU‘s value top down vs prior month. If you know your data and your processes you don’t need extra software.

Bad data in = bad data out. To simplify the processes, you need to understand all of the key data points in your systems, in order to automated or correct consistent errors. I have found spending the 3-4 hours to fix/create an automation reduces workload in the long run that reduces a weekly or monthly task from 2 hours to 1. Set aside the time to save you stress in the future. Usually the simplest errors cause the biggest headaches. Have checks and balances on each movement of inventory, whether it is from a co-worker or an integrated system. Develop SOPs and communication processes to streamline inventory movements.
