What do you do if you're juggling multiple live events and need to stay organized and focused?

Planning and regular communication is key. Make sure everyone in the team knows their role and responsibility. Use short daily team huddles to ensure everyone is on track.

The best way to stay on top of organising an event is to document it. If you’re new to the industry, you don’t need anything too sophisticated to stay on top of all the activities. The use of a simple spreadsheet itemising every element you can think of will help map out the needs. Order the jobs to be done in terms of importance and then chunk each down into tasks and ensure you add due dates to keep you on track. Use this tracker to stay focused and add the small details to the plan as you move through the project.

Again, Trello or other project managing software makes organization easy. It helps to have a good working knowledge of each key element of the event. Hire people who get the job done efficiently with good work ethics. Be a part of the team not a barking person with your hands on your hips. Get your hands dirty, even more so with jobs you know less about. This makes you appreciate those who do that job and know the slackers.

Utilizing all options and the strongest workers in each required area is key to securing a successful event for each client. I have found organizing and setting up, and even facilitating the events run more effectively when each worker is invested by their personal visions than just taking directions.

Delegation is tricky and a trusting thing! You have to know that the person or team you’re delegating the task to is fully capable of executing that task in a positive professional manner. Most of the time you’re running crazy, juggling 10 different things. There’s no time to teach someone the delegated task. So, get people you know are capable. Don’t forget to take a little time and jump in with them on the task you gave them. It’s a good way to make sure they’re doing it the way you want it done, offer guidance and see if you have any sand baggers.

In my Quality management days, we had a meeting every morning to discuss issues, trends, assemblers who produced less than satisfactory results, the last Braves game, time off and any other issues or appropriate discussions. Once a month I bought breakfast for my inspectors and helped them inspect when product was backed up. Not only did I learn what the highest hitter was for defects, I learned much more about the atmosphere, who liked who and who didn’t, the flirters, the slackers, the ones who busted their bootys. I learned each department and that inspector’s job by doing, not watching. Respect is what I got in return. I made new friends not only the quality dept but in the whole company. That’s my best communication advice!

Trello is the best project management program I’ve used. Word for procedure writing Excel for Defect tracking and charting, KPI’s, not a word processor program!!! AutoCad, Q-Cad, Stardraw for pro drawing sets and renderings And the list goes on and on…
