Encourage transparency within the team. Make the team comfortable to share ideas, raise concerns, etc. Build trust & respect within the team. Promote collaborative mindset, recognize individual efforts and appreciate.

When working with vendors and your management team the first action is to define exceptions. You cannot tell the team how or what you want them to do. You can define success. Let the team know what success looks like. Then set the expectation for the team to work together on how they measure the success. Get them talking about how they will measure, how they will know, and how they will help the vendor understand the team's expectations. This will let the team experience a win and appreciate each other.

Have you considered a RACI chart? It sounds like there is lack of understanding on who is accountable and who is responsible.

Often it is found the user team and the vendors nominates a SPOC and does not allow other members of the both teams to communicate. It results the requirement not getting conveyed to all members. Hence it is must that the meeting either on VC or in person is attended all team members who are working the project often. The SPOC may review at periodic intervals

It’s crucial to build rapport in a vendor environment. I have been on both sides of the table as the solution consultant and the client and for me building trust and rapport hinges on transparency and consistency. Start by creating a culture where open communication is the norm. Encourage team members to share their successes and challenges openly. Regular catch ups can also foster personal connections, which reinforce professional trust. Additionally, acknowledging and celebrating small wins can build confidence in team collaboration. If you see it purely as a value exchange (e.g., a vendor / client relationship) then you are missing a trick. Try to see the relationship as collaborative and you’ll “win together”.

Sometimes it's important to make noise with your performance to get that attention. Usually the vendor would respond and working. It's really important to collaborate, be transparent and win the trust.

Traditionally the clients were treating vendors as mere suppliers of their needs, which led to bi-directional communication (& conflicts) only. Current Knowledge based economy with fast changing business environments, changed that business dynamic. Both Customers and suppliers need each other and can't survive without other. So treating vendors as partners for growth would help each other. I have seen great collaboration environment where Customers treat their vendors as partners.
