My advice: 1/ list all the tools 2/ if you have more than 5, eliminate, remove 3/ access the actual benefit of the 5 remaining: what do they help you to achieve 4/ if outcomes are similar, reduce the tools The less tools you have, the more efficient you're. Less is more is my go to for time management!

Consider going back to basics and use the simple, unpretentious and eternal....wait for it....calendar. Each person has only one physical presence and one attention span, that can only be in one place at one time. A calendar recognises this and works on a 2 dimensional premise - the 'what' and the 'when'. By overloading with multiple tools you risk losing focus and conflicting with the only thing employees have - their availability. Conversely, having discipline with 1 tool enables militant prioritisation. If additional tools are required for different purposes - e.g. for client billing, consider maintaining the calendar as the foundation. You can even add an additional dimension to support prioritisation, such as categories.
