Once you clarify that with them, the next step is to ensure them that you are available to help as soon as they identify an issue. If they leave things to be done at the last minute, they were not planning to meet the deadlines and they should assume the responsibility of leaving things for the end. Well, you can do many things but first, you will need to do an assessment of the situation - Have deliverables been under estimated ? - Your team availability is lower than expected ? (vacations, sick days, etc..) - Is your team under qualified, or do they need some special training ? - Is your client imposing non realistic due dates? Your response will vary depending on the found reasons, and you can always sit with your client and propose alternatives. You are not saying "NO" but rather "This is what we can do for you..."
