What do you do if your team members are retiring from a leadership role and need a smooth transition?

You should start planning long before an impending retirement. The job of every leader is to identify potential successors and start working on building up their skills and experience from day 1. Not only does this make for a smoother transition when the unexpected happens, but it creates a more capable team in general. And if that succession plan is documented, leadership can quickly pick up the ball when/if something happens.

Transitions are always aided by clear communication, at the start, in the middle and at the end. That includes candid converstions with the colleague about what planning is needed to ensure that the role transitions smoothly at the time of their departure to another talent. Simultaneously providing the organization with clear communication about the transition, what to expect in the weeks/months to come, including their role, if any, is needed. Work with the transitioning colleague on mapping out the status of projects; any issues with internal staff; identify key external people a new person will need to meet and work with. At close, provide clarity for the entire team about who will manage key projects if the new talent isnt on board.

One of the best forms of gratitude in leadership is to bring up the next wave of leaders. In case of a leadership departure, it's an excellent opportunity to select an individual and work with that individual and smoothly transition responsibilities before departure. I worked with a leader who was moving out of the business into advisory roles and their successor had been planned for months - by the CEO wand without the person who was leaving's insights. As a result, the person didn't recieve the support they should have, a lot of IP was lost and so was the opportunity to let the person (whose tenure was decades) to leave with an element of legacy.
