What do you do if your team is facing a crisis?

A crisis will happen at some point in time in any group, business, family, etc. But it is how you deal with it that makes the difference in 'damage control'. The first step is to keep a level head and lead with purpose. Assess what areas have been affected that can do the most damage to your organization. Bring others to the decision table to get a better and broader view of the situation. And above all, don't be afraid/embarrassed to ask questions or to ask for help.

During a crisis, it's crucial to stay calm and focused. Firstly, ensure open communication within the team to address the situation transparently. Identify key issues and prioritize tasks to tackle them effectively. Encourage collaboration and support among team members to work towards a solution together. Seek input from all team members to gather diverse perspectives and potential solutions. Keep morale high by recognizing and appreciating efforts. Lastly, learn from the crisis to better prepare for similar situations in the future. Remember, facing a crisis as a team can strengthen bonds and lead to growth.

Before you say or do anything, take a moment to carefully look at the situation. Try to figure out where the problem is coming from and how serious it is. Think about how it might affect your team, their work, and what resources they have. Look at both the risks and opportunities that come with it. Gather all the facts from reliable sources and avoid jumping to conclusions or spreading rumors.

If my team is facing crises, my primary aim will be to be calm and composed. This attitude of mine will be rubbed onto my teammates as well. Calmly thinking of the right solution and getting the team involved in a quick brainstorming session helps. I will aim to create positive energy, build the trust factor in the team, come up with a solution, and create the belief of accomplishment. I will work with the belief that together as a team, we can overcome any challenge and navigate through it with ease.

Regular and transparent communication is crucial during a crisis. Inform the team of any changes to the plans, the situation, and the actions being taken to address it. Promote frank discussion of ideas and issues. To prevent misunderstanding, explicitly assign duties. Remain composed, provide assistance, and be open and honest about problems and their fixes. This happened in mid 2020 when the Pandemic situation left us all clueless. This was the time to have constant communication with the Team. This was important to provide a sense of direction. Few steps on crisis communication: be transparent - discuss the risks & potential outcomes without any ambiguity. communicate the expectations from the Management with no ambiguities. create process ownership to attempt sustainability. narrate stories from the past to induce a sense of passion. These can be self-stories as well. create a sense of bonding through small initiatives. keep a tab of your team members listen to your team. understand perspectives & views. create feedback mechanism Hope for the best as always.

Communication is the key. When COVID first broke, we held a meeting to share what we knew and how our plan to handle it. In a crisis we are often faced with uncertainty that can paralyze or cause a reaction that makes things worse. Increase communication. Be honest about what is going on, and allow people to ask questions. If you don't know something say that and let the team know when you will have an answer. A crisis requires quick action based on clear communication.

When there is a crisis and there is little to no communication coming from upper management, people tend to exaggerate the situation and make it seem worse than it is. Honest, transparent communication is absolutely key in crisis management. It also helps you control the narrative to prevent complete meltdown.

Many times leaders will hide behind the curtain like the wizard of Oz when working on reductions in force or organizational realignment. This only creates discomfort and fear in organizations especially, when mid-level execs are asked to "encourage" their teams that everything is going to be "fine." The sooner top execs can step out from behind the curtain and disseminate the truth the better. If the top leader is not being transparent then they make everyone communicating below them a liar. This is the organizational equivalent of throwing a hand-grenade of distrust and it will kill innovation and culture. "Protecting" people from the truth is harmful.

Most essential, during the crisis, continue to show empathy, support, and regular updates to ensure that everyone feels heard and valued and to retain a positive attitude.

Everyday is an opportunity to engage and empower your team in decision making. By the time the crisis comes, they will be prepared and well practiced. This interaction should be fluid in nature much like an athletic team, orchestra or band. Be sure that this empowerment includes an investment in training so each team member is confident in their skills to perform in the heat of battle.

Every member has different needs and it is very important that the leader understands the individual details for each person. This is the true meaning of support because what makes one person feel happy and content in their work is likely unique.

Taking care of your team should be a priority outside of any crisis or escalation. These need to be two separate operations. If you are already taking care of your team and their wellness, they will be ready for any emergency, cool-headed and calm, just like their fearless leader.

Post-crisis reflection is invaluable for growth and preparedness. Establishing a formal review process, such as after-action reviews (AARs), allows teams to analyze their response to the crisis, capturing what worked and what didn't. Creating a lessons-learned database ensures these insights are accessible for future reference, turning challenges into stepping stones for continuous improvement.

Treat post-crisis learning as an ongoing process rather than a one-time event. Encourage a mindset of continuous improvement, where individuals and teams are constantly seeking ways to enhance their preparedness and response to future crises. Dive deep into the root causes of the crisis. Understanding the underlying factors that contributed to the crisis is essential for developing strategies to prevent similar situations in the future. Document insights and lessons learned during and after the crisis. This could include gathering feedback from stakeholders, conducting post-mortem analyses, and documenting best practices and areas for improvement.

Talk to them, counsel them, hold frequent meetings and incorporate appropriate decisions and measures in work methodologies to come out of crisis, listen to them sincerely and devoutly and suggest remedial measures to bail out of the crisis.......!

- First and foremost, Stay Calm. Don't panic, and try to assess the situation objectively. - Break down the crisis into manageable pieces and group them based on the same type of solutions. - Divide the tasks among the team and keep regular tabs on progress. - Devise Plan B and C. Just in case.

In my role as an executive leadership coach, I've found that confronting a crisis directly is essential. To facilitate this, I've developed the ALIGN framework, a strategy I personally crafted to guide teams: A- Acknowledge the situation to ensure everyone understands the context and severity. L- Listen to team members' concerns and insights, fostering a collaborative environment. I- Identify key priorities and resources needed to navigate the crisis. G- Generate actionable steps together, ensuring each team member has a clear role. N- Navigate through the crisis with regular check-ins, adapting as necessary. This approach not only tackles the crisis efficiently but also strengthens team unity and resilience.

Establish a yearly prize for the team or person who has handled the biggest crisis in your organisation. Let people nominate each other for it. This normalises that everyone makes mistakes and has to handle difficult situations, and gives an opportunity for learnings to be shared and celebrated across the organisation.

One simple concept to add is to establish a dedicated crisis response team within your larger team. For example, during a company-wide crisis, I formed a small, agile team comprising key members from various departments to focus solely on addressing the immediate challenges. This approach ensured rapid decision-making, clear communication channels, and efficient problem-solving, allowing the rest of the team to stay focused on their respective roles while knowing that the crisis was being managed effectively by a specialized group.

Sounds obvious but the first thing to do is stay calm. Your mentality and attitude will come through to your team and help the whole group be more effective. Be decisive in your actions. Worry about the root cause analysis after the crisis is over. Take care of yourself and your team. They'll remember.
