What do you do if your remote team's productivity is slipping?

In my coaching, this is a common challenge of leaders of remote orgs. So I often focus on how to create spaces for open dialogue. A guiding questions I ask is: “how might you create a space where every voice is valued?” Here’s a process to consider: begin conversations by acknowledging the unique challenges each person faces in remote work. Here, you have the opportunity to set “ground rules” together: things like listening without interrupting, no advice-giving. Give space for everyone to share. Be okay with long pauses initially; people may not be comfortable or feel safe sharing. The goal here is to set the precedence of deep listening, belonging, and connection.

I agree. Ensuring that everyone understands their roles and contributions fosters a sense of ownership and alignment toward achieving team goals. Creating a structural strategy emphasizes clarity, accountability, and collaboration, which are essential for remote team success. I also find conducting an annual review of set expectations is vital for maintaining alignment and productivity.

Working remotely can be a blessing and a curse for obvious reasons. Working remotely myself, I appreciate that we have a Zoom morning meeting every day. Some days, it's a lot more personal than business. Other days, it's the reverse. Making time for the personal, the joking around, the connecting...That really makes me productive.

In my experience, it’s crucial to invite the member into a one-on-one conversation. While doing so, create a safe space in which the conversation can take place successfully. It’s best to start out in a very positive tone, and share how valuable the person is to the team, before mentioning you’ve noticed some changes in the work productivity and are genuinely concern. This sets a stage for constructive tone allowing the members to get comfortable with the dialogue itself. Then move forward with some open-ended questions, but begin by asking if everything‘s OK with them. This will allow you both to uncover some of the potential influences impacting the members performance and plan on a series next steps.

Working in a remote setting at times gives a sense that you are alone in your experience. One trick I found to work well for a remote team, was creating a chat group. It encourages the members to interact regularly; engage in daily salutations, in addition to addressing short work questions and concerns. This technique helps to maintain connection and camaraderie. The chat creates a virtual shared office space and really keeps the group active and aware of one another despite the physical distance. It’s a simple yet effective strategy for promoting collaboration and maintaining a sense of unity within the team. I certainly appreciate the mention of organizing fun activities for your team. Humor is often undervalued and underrated as a leadership skill to build trust, break the ice, and facilitate collaboration. Many great public speakers start their speeches with jokes to build rapport and strengthen their relationship with their audience. It is a brilliant way to show authenticity, improve communication and creativity and, of course, reduce stress or anxiety.

An example of fostering trust and collaboration that my team utilizes would be Onboarding Buddies! We assign new team members to a ‘buddy’ with more experience for hands-on training and shadowing. This helps build a deeper connection to colleagues and sense of belonging on the team, as well as developing important job skills. We also have multiple meetings per week utilizing video calls on Teams.

Employees may be fearful of judgment in taking such breaks. So, in addition of encouraging the team to take breaks, managers should set the examples by exercising the practice as well. The action will set the tone for the culture of group and invite them to do the same. As a collective the team can regroup and return to the work space refreshed and eager to take on the next task.

Getting a clear Understanding of what had gone wrong and what causes would have led to this issue is the key to taking any corrective actions. It is important to establish an open communication amongst the team members so that they will genuinely communicate the challenges they may be facing from their end. It may be some issues with connectivity or working times ( as the time zones may be different from one team member to the other in a remote set-up) or it can be that there is lack of understanding and trust among the team members which may lead to a decline in performance. Once you identify these root causes it is vital to establish clear and open communication and establish trust and transparency among the team.

Organize virtual sessions where team members can share their expertise and knowledge with each other. It can be done through presentations, demonstrations, or informal discussions. Encourage team members to contribute and learn from one another. Team. Building activities could also be helpful in this area.
