What do you do if your remote team members are difficult to connect with?

What I have understood to be best practices around this topic is to first establish the team vs. individual communication channels. Establishing regular catch ups can help with the exchange of information that can wait and utilizing different channels for the type of information/priority needing to be shared/accessed for the whole group and individuals.

Set Up Clear Channels: Make sure we have easy ways to talk, like video calls and messaging apps. Keep in Touch Regularly: Schedule regular catch-ups to chat about work and life. Respect Time Zones: Be mindful of everyone's schedules and find times that work for everyone. Encourage Sharing: Create a space where everyone feels comfortable sharing ideas and concerns. Use Tech Wisely: Make the most of tools like Slack or Zoom to keep us connected. Get to Know Each Other: Take time for virtual coffee breaks or team games to bond. Be Clear About Expectations: Make sure everyone knows what's expected in terms of communication and deadlines. Offer Help and Resources: Support team members who might be struggling with communication tools.

Time zone differences or varying work schedules can make it challenging to find overlapping time for collaboration and communication. Example Situation: A remote team member located in a different time zone consistently misses scheduled meetings or responds slowly to messages, delaying project progress and hindering communication. Before starting a remote project it is very important to agree on some basics: which app/software we will use, is this available to every team member, user friendly and stable? Also, what is the best time and date to meet? Our meetings are short and productive? Is it clear to everyone what should be done? These few items can help a lot to the engagement of the team and make the project run smoothly.

Team members working across various time zones, with some of us in India, We had established core hours from 1:00 PM to 4:00 PM IST, where everyone should aim to be online and available for meetings on zoom and discussions on slack. We have regular catchups or huddle 1:1 or in groups, to discuss work progress, address any challenges, and also to connect on a personal level to foster team spirit and camaraderie, here everyone's voice is heard and valued and we Support team members who might be struggling.

In my experience we can do the following: Communicate Goals and Objectives: Clearly outline the team's goals. Define Roles and Responsibilities: Clearly define each one responsibility and assign the proper roles. Establish Communication Guidelines: Set clear guidelines for communication. Provide Regular Updates: Schedule regular check-ins. Set Deadlines and Milestones: Establish clear deadlines and milestones. Encourage Transparency: Foster an environment of transparency. Provide Resources and Support: Ensure that team members have access to the resources, tools, and support they need to successfully complete their tasks. Clarify Expectations for Performance: Clearly communicate expectations for performance and quality standards.

As a manager I had set expectations right from start in my team everyone had to respond to important emails within 24 hours, Slack messages within an hour during working hours, and urgent matters to be addressed immediately through phone or whatsapp. Team member updates project work progress on Jira regularly. If they are stuck immediately ping senior, me or tech lead. This helps keep everyone in the loop and ensures we're all aligned towards our goals. We take daily scrum call and weekly all hands on a Zoom meetings to discuss strategies and address any challenges.

Setting the expectation that remote team members are available for collaboration is important. While results rank high when analyzing performance, availability and reliability are key to staying connected. I am not of the opinion that keeping tabs is an effective way to manage this. It is more effective to let the team member know that their input is valuable and that they are expected to contribute to the reach our shared goals. The person's consistency will speak for itself.

In my opinion, when a team is working on a product, the product manager has the responsibility to clearly define his expectations from the members, announce the red line and schedule before starting the project. have regular daily meetings with team members and the members do not have this feeling because they are working remotely, no one is following them, or they have a feeling of being fragile. In my opinion, if we look at the customer of the product and its demands are vital for our product, we should also look at the team members with a little more depth.

Communication is the key to establish a connection it respects of whether one is working at site or remote, now how do we define this communication well it should start with to know where your peer is, are they stressed about somethings or did one notice any changes in the work or energy level if yes then have a conversation with them usually people just want someone to share how they are feeling these types of conversations foste the bond within team , and most importantly keep that conversation confidential it is not a piece of gossip in the team. That is the skill empathy we need to train ourselfvea on, apart from this we cab try to have some fun activities virtually or just a catch us session with fister connection

Here are some options: 1) daily notes on Features / Epics / Stories in JIRA, Confluence of what was worked on, what is left to do 2) Slack or Teams channels that are focused to different needs - one could be on production installs, one could be on Leadership messages 3) shared reporting documents, like weekly delivery updates, the different PMs, Engineering lead can provide their weekly summaries for leadership.

Working remotely can be a challege to ensure people are effectively talking. One thing that is sometimes missed is the opportunity to talk without restriction, or the need for it to be about work. When you worked in an office, there was the opportunity to just run into people and talk about a kids soccer game. As a manager, I had to designate time for people to just "chat" without it having to be about work. I would specifically block time that was not work specific in order to encourage building relationships, which will create stronger connections with team members.
