What do you do if your project requirements aren't getting through to the development team?

In my experience, there are two ways to make sure developers pick up your requirements: 1.) Requirement refinement meetings: This provides active engagement with the developers, allowing them to answer questions and clarify any uncertainties. 2.) One-on-one meetings (optional): If needed, individual discussions can be held to dig deeper into specific developer concerns. When explaining requirements, better to have clear communication by utilising the following points: # Walk developers through what each requirement achieves and its purpose in the project. # Discuss the existing solution (if any) and its challenges. # Use visuals like process flows, wireframes, or competitor solution screenshots to provide additional context.

Communicate with the development team and should have a refinement calls in which in-debt discussion should be required. Try to make the discussion fruitful as much as you can and engage the developers to ask them as many questions so that there would not any lags at the time of elicitation of the requirements.

Some techniques that have worked well from my experience are 1. Requirements walkthrough to the development and testing team facilitated by scrum master / project manager. Make this session interactive and encourage participation from team to raise queries, share suggestions. 2. Sharing overall objective / expectations using a workflow or flowchart makes the communication more effective. 3. Reverse walkthrough or explanation of the requirements by team back to the business analyst or product owner helps validate the understanding. 4. Interim prototype walkthrough and demos can be organized to identify any gaps early on. 5. Brainstorming sessions with team to understand challenges and identify solutions also works wonders.

Be smart on your choice of communications, avoid a meeting where a clear set of updates can do in an email, avoid an email with the entire team where a quick note in the teams chat will serve the purpose. By all means communicate everything that is required but be mindful of the time being consumed in doing so.

Having a psychologically safe environment allows people to share and give their best. Yes, meetings are important, but sometimes having a space where they can integrate, get to know each other better and exchange experiences can also be a good alternative for having more innovative and creative professionals.

The aim isn't merely to assess knowledge but to confirm accurate comprehension and processing of information.

Typically, I try to write in a simplified manner, easily understood by users and developers. First example, sum (X) where conditions y exist. It’s pretty straight to the point and concise enough to be understood by both users, testers, and developers.

To explain requirements and solution better, I recommend adding use cases with expected behavior. For complex integrative designs, a Dry Run would be a good idea as well.

I think Business Analysts are often too verbose. Simplifying language and using shorter sentences and paragraphs does improve understanding. A diagram, flow chart or table may give a much clearer understanding.

A prior discussion with developers are always the best idea to give clarity on requirements, this will helps developers in identifying the requirements and cross verify their understanding with the documents. Communicating the changes only with documents often confuses the entire process and leads to problems in the future

Coach the squad on how to have an effective Definition of Ready and how to hold that firmly and one of the criteria for this situation should be "Everyone in the squad understands the requirement". Once that it established, get precious about your backlog and add only items which fully meet your DoR.

Ensure that you are on hand to answer any questions that they may have during sprint, and help to provide acceptance criteria, testing and advice.

Oral and written communication goes a long way. Written communication can be reviewed async by engineering and can be used in future. Lengthy and ambiguous requirements can be discussed in weekly meetings making it easier to break it down to smaller pieces

Any project needs to have support. Any product need support for any bug of the product, is normal activity. Is not anormal if the project has bug, but it needs support

A 'sprint zero' is helpful. Timebox it to few hours over a couple of days. Self organized scrum team should agree on (1) who writes, reviews, approves user stories (both new and changes). (2) How to visualize progress of these stories in product backlog for in/out/reorder. It is worth tweaking a dry framework to your effectiveness. A great technique is to simply enable co-writing a little more elaborate user stories by an analyst (words and tables) and developer (a flowchart & pseudo code) and then call it 'Done'. Organization reality is all resources multi task. Many times, this is also a strong reason for slippage in quality with key information (like requirements) not communicated well. It is important to address workload balance.

In my experience, one of the ways I tackled this was to setup a separate problem solving meeting to help dissect these long lingering issues. I invited both the tech and business SMEs on the session to hash out all the grey areas and pain points. I then created an excel sheet for team members to input details of the issue and the business SME needed to help verify or shed some light on the subject area as well as follow up steps. This 1 hour weekly session, we discuss everything from access, bugs, Unclear user stories, fine details and it made life easier for both the dev and business teams. This is a time to be a great listener and not a big talker. The team will appreciate hearing other views. Make sure all feedback gets appropriate attention. Look for the “Outliers”. Some of the best innovations come from those people who are just wired different. The team needs to see that everyone has a voice. The development team needs to see how you value the feedback.

I'd schedule a face-to-face meeting to discuss them in detail. It's crucial to ensure everyone understands the goals and expectations clearly. I'd also consider breaking down the requirements into smaller, more digestible chunks to make them easier for the team to grasp. Sometimes providing examples or prototypes can help illustrate what's needed more effectively. Additionally, I'd encourage open communication channels for team members to ask questions and seek clarification as needed throughout the development process.
