What do you do if your project fails?

A few years back, I faced a daunting challenge when a project encountered unexpected hurdles. Analysis revealed issues with goal-setting, communication, and resource allocation. The project manager's ambitious goals overlooked resource limitations. Swift identification of the problem, aided by monthly reporting, enabled us to act promptly. We undertook tasks such as analysing root causes, accepting responsibility, learning from mistakes, and adjusting strategies. Feedback from stakeholders guided us. Maintaining resilience, we reevaluated resources and communicated transparently. By refocusing and celebrating progress, we transformed setbacks into valuable learning experiences, fortifying our team for future endeavours.

Personally, I do not believe in failures but in learning experiences. Turn what you believe is a failure into lessons to be learned and continue your journey. Projects are project-ions of our "failures and successes" so by learning the lessons we are capable of "projecting" wiser courses of action...

Sometimes projects fail; it's a reality and can actually be a very valuable experience. Naturally coordinators wonder if fault lies with them; it can be a blow to their self-esteem and make them wonder if this is the right path for them. There can be any number of reasons a project fails; recognizing them and being able to articulate them professionally will help everyone understand while maintaining credibility and integrity.

If a project fails, take these steps: analyze root causes transparently, assess impacts, learn from mistakes, mitigate damages, realign goals, implement changes, seek support if needed, rebuild confidence, & move forward with resilience and optimism. Use the experience to inform future projects & continuously improve project management practices. By taking these steps, you can effectively manage the aftermath of a project failure, minimize negative impacts, and leverage the experience to drive future success. Tough question. Project failure is nightmare to reputation. It engages with non returnable cost, comitment to stakeholders, lost of trust to organization achievements. Even to some larger scale it could affect the company shares and nation watch. Project failure could come as as the result to management flaws of internal or even sometimes external aspects. If that comes from external, then usually psychological impacts is lesser than the internal. Not much to do if the failure comes from external. However, if it derives from internal, then: 1. Apology by management to all related stakeholders. 2. If it relates to some consequences and commitments, then manage carefully to fulfil them. 3. Learn from mistakes. 4. Try to regain reputation

Assuming that we are going to fail is important, normally we have to assume that we are going to be able to make mistakes just like anyone else around us. However, after accepting that there are going to be mistakes, we have to make an analysis of the causes and the origin of them. This analysis will allow us to learn and improve, to reduce possible future mistakes caused by whatever we have been doing wrong.

The very first step is to immediately communicate the situation to both your your client and your organization. Defining clearly and objectively the facts. This will allow to take proper actions as needed, as emergency agencies, authorities, insurance companies, etc. It is a bitter moment needs to be faced

The wise and professional way to approach it is to assess the entire project to understand what went wrong. Take the lessons learned and really apply them to your next project. This doesn't mean you aren't a good project manager, it could've been completely out of your hands and nothing you could've done to save it. Whatever the reason, adjust your processes, really make sure that your scope is well defined next time, really pay attention so the same problem doesn't happen twice.

A person who makes mistakes but does not learn is destined to make the same mistakes. Assuming the mistake and learning from it is very important, since in this way we will be able to reduce the amount of mistakes we will have in the future.

During our Field Trip Season at the Outdoor Classroom, sometimes lesson don't go according to plan during the beginning of our season and they are not as successful as we hoped. We then change the lesson and adapt it to fit better with what outcome we are looking to achieve. Through failure we find success by fixing the kinks.

An example is a project that covered 4 years of R&D only to get short circuited by another company that won over the product in the Automotive Market. We were blacklisted due to our lack of anticipation of the semi conductor shortage. We then felt like 4 years of R&D were drowned or swallowed by time. It hit a huge team. The project STOP affected us all. But we had the opportunity to rise thanks to our leaders. That's where hours of lessons and learned came in, we fine combed through our work listing all the tasks that could have been approached differently and all the topics that we should have tackled with a different angle. There were long lists of lessons to learn from even if we weren't keen on playing along.

This involves recommitting to project goals, implementing corrective measures, and regaining momentum towards achieving success. In order to move forward, a powerful tool would be the identification of those stakeholders who aims to have a win, after the failure of the previous project. Involving the same people it would not necessarily lead to the same (negative) results, if the previous experience have been technically assessed and understood in terms of wrong allocation of workload and wrong identification of skills/ resources and timing. Therefore encouraging ad-hoc trainings it’s crucial before embarking in a new project. It would result extremely motivating, also, to have a high motivated sponsorship within the Top Management, surely well aware when it’s needed to jump in to assess the status, supporting, advising and motivating the Team.

Staff management After acknowledging the failure, it is good to treat staff properly, avoid unnecessary blaming and negativity.

In addition to the essential steps of acknowledging failure, analyzing causes, communicating openly, learning from the experience, planning recovery, and moving forward, consider factors like team morale, resource reallocation, risk management, stakeholder engagement, continuous improvement, documentation, leadership support, external support, celebrating success, and maintaining a long-term vision.
