1 Identify the root cause

The first step to address the lack of communication is to understand why it is happening. Possible causes for your mentees not responding could include being busy, overwhelmed, or feeling uncomfortable with the technology or platform you are using. It could also be that they are not interested or motivated by the topic or goal of the mentoring, feeling frustrated, confused, or discouraged by the process or feedback, or not aware of your expectations and preferences for communication frequency and style. To identify the root cause, you should ask yourself questions such as how often and when you communicate with your mentees, what mode and channel of communication you use, what tone and style of communication you use, what content and purpose of communication you use, and how you follow up and provide feedback to your mentees. Answering these questions can give you insights into your own communication habits and preferences, and how they might be influencing your mentees' responsiveness.

2 Communicate your expectations

The next step to improve your communication is to communicate your expectations clearly and explicitly, so that your mentees know what is expected of them in terms of communication frequency, mode, channel, content, and purpose. Explain why communication is important for the mentoring relationship and the mentees' goals. For instance, let them know that you expect them to reply to your messages within 24 hours, unless there is a valid reason or emergency. You may prefer to use email for formal and detailed communication, and text or phone for quick and informal communication. Additionally, you can suggest using Zoom for regular meetings every two weeks on Tuesdays at 10 am. Furthermore, you can send a summary of meetings with action items and expect updates on progress and challenges. 3 Adapt to your mentees' preferences

To further enhance your communication, you need to be flexible and creative in your approach. Utilize a variety of tools and techniques to engage your mentees, such as video calls for face-to-face interaction, audio messages for personal communication, emails for formal communication, texts for casual conversation, calendars for scheduling, surveys for feedback, quizzes for learning, and games for fun. Varying methods and formats can make your communication more interesting and effective, while also catering to different learning styles and preferences.

Common Room (staffroom) conversations and popping into a colleague's teaching room for a chat are far and away the best way to communicate and share ideas. Email at times is like a fire hydrant going off - very hard to filter what matters and what doesn't.

When a young teacher is beginning the teaching journey- it is full of challenges- emails while a great form of communication- quick,direct and can be kept as a record BUT they can also overwhelm a teacher with many other things on their minds. It means they will miss the initial message and often more than one. When life is that hectic it means just finding time for a chat - it might mean wander in while they are working, standing next to them on yard duty or just sit down over a coffee. When things slow down and they are less under the pump / emails can become an option again - patience is the key

5 Seek feedback and improvement

The final step to optimize your communication is to seek feedback and improvement. Monitor and evaluate your communication, and ask for your mentees' opinions and suggestions. Be open and receptive to their feedback, and act on it accordingly. You could ask how they feel about the communication, what they like or dislike about it, its strengths and weaknesses, how it can be improved, and what their goals and expectations are. Through seeking feedback and improvement, you can demonstrate your commitment and professionalism while fostering a culture of continuous learning and growth.
