What do you do if your HR team needs to improve efficiency and accuracy in their processes?

Standardize procedures We need to establish standardised procedures and guidelines for HR processes to ensure the consistency and minimise the errors within the organisation because we are humans and humans can do error. Also, we need to clear and make the documentation part easy and can also provide training materials for employees to follow.

Automation: Implement workflows for routine tasks. Training: Provide training on new tools & practices. Standardization: Establish consistent processes. Feedback: Encourage input for ongoing improvements. Metrics: Monitor key data to gauge progress. Collaboration: Foster team communication & teamwork. Quality Checks: Ensure accuracy with regular reviews. Continuous Improvement: Adapt processes based on feedback. Efficient HR processes boost productivity & satisfaction.

To improve overall HR team performance and maximize on its deliveries, we should strive to align with the company’s overall objective. In other words, how SHOULD our HR services be delivered to our customers? There should be a standard approach. Second, hold your HR team accountable through well-established performance goals that align with best practices and organizational goals. Lastly, collect FEEDBACK! Often times than not, feedback is a resource that should not be taken for granted. It is critical information that should be considered in the decision making process when evaluating next steps for improvements.

Without compromise, the first step is to evaluate your current HR processes and identify the areas that need improvement. You can use tools such as surveys, audits, benchmarks, and feedback to gather data and insights from your stakeholders, such as managers, employees, customers, and vendors. Periodically review your HR goals, strategies, policies, and systems to see if they align with your organizational objectives and best practices. I have also found retraining the team a very helpful step to revive your inhouse processes as sometimes they may simply be out of trend.

Survey Employees Instead of your HR teams having to guess what employees need, enable them to take surveys and collect real-time data.

Question the status quo. Ask 5x WHY? Why do we do it that way? Why is the process in place? Why...Why...Why. Often you will find it is impossible to clearly explain why broken inefficient processes continue.

If it's not the process it might be the staff. Create an environment of trust and continuous improvement and reward continued growth and development of your team.

One thing I find helpful is to identify your weakest employees and your strongest. Ways to improve on efficiency in a place of work can be through motivation & encouragement by promoting hard working employees (strongest) and empowering the weakest with tasks and giving them small incentives such as Labour day awards to leave room for competitiveness.
