What do you do if your existing systems and processes are not compatible with new technology?

The first step is to remember - it's going to take time. Assess the state-of-the-state, describe in detail what the 'end goal' is, and the problem you're trying to solve, then reverse engineer by milestone until you get to what you should be doing in the now to enable that scalability. You need to have a good understanding of your teams' strengths and gaps, and hire/upskill to fill the gaps while keeping current tech stable. Do not fall victim to 'shiny thing syndrome'. Not everything has to be 'AI' or 'microservices'. Lose the trends, and focus on simplicity and scalability!

Too many times, decisions are driven by buzzwords and shiny new technologies rather than the actual need. Does your team need a certain process or are you even tracking the metric that you are trying to collect the data for? You should answer this question first before trying to put any effort into modifying or building anything new. If the answer is yes, think about what the needs of the new technology are. Are there any other features that you could implement now with the new technology? If you are modifying or building something, don't just do it to maintain the status quo. Use this opportunity to optimise or add new features.

Everything has a price. What is the ROI for a new system? How much time will be lost during the conversion? Can we even convert? What addons are required to be fully functional? And so on. Please include a pilot team of the end users in the discussion of a replacement. To many times modules or seats were not obtained to keep the cost down and that crippled the program.

Assessment of the compatibility of the system is the first thing to do.Define integration objectives and involvement of all the stakeholders is compulsory for this.

Weigh in the financial and time impact of the changes you are about to make. Go ahead with the planned changes only if the result justifies the impact. Treat this exercise as any other project where you need to build a PRD, define user stories, create and assign tasks, test, and document. At the end, you might also need to conduct a few workshops to onboard the clients (your internal team in this case) onto the new system.

As I said earlier, treat this like any other project. Take the system through multiple phases of testing, rolling out to a bigger audience in every phase. You might decide to do A/B testing as well to understand various flows of the same functionality to deteermine which one works better.

Any kind of Data Migration typically involves the following steps: 1. Backup - take backups in case something goes wrong with the migration so that you don't lose the data. 2. Convert - process or convert the data if you the new system uses a different structure or format. 3. Port - move the data from it's existing location to the new system while ensuring no data gets lost on the way. Use existing plugins or libraries for Steps 2 and 3, or build new ones. 4. Test - perform tests to make sure the data is complete and accurate.

In my experience, encountering outdated systems clashing with new technology is common. But rather than seeing it as a roadblock, I view it as an opportunity for change. First, I assess the existing systems, finding where they don't fit with the new tech. Then, I lead the way in making needed upgrades and adjustments. By guiding my team through this process and keeping things simple, we smoothly transition to the new technology while keeping what works from our old systems.
