What do you do if your Building Design project becomes overwhelmingly complex?

The best offence is often a good defence. A project that 'spirals' means the project manager did not do enough initially to assess the project. This is a common mistake with architects, and it comes down to a need for more active listening and understanding of the project's needs. In my experience, almost all complexities could have been avoided initially. However, it is important not to pass blame around but to learn from experiences and apply it to the future. Take one day at a time and one problem at a time, and it will be much easier to manage a project regardless of the challenges that emerge and believe me, they will appear.

When a Building Design project becomes complex, I review the scope and objectives to understand what is needed. I simplify the project, breaking down complex parts into manageable components. I seek the help of experts if it’s challenging and use design tools to manage complexity. I carry out effective risk management, identifying risks and developing a plan to mitigate them. I maintain clear communication with all stakeholders of the project to avoid misunderstandings. The key to managing complexity is organization and effective communication.

Leaders are only leaders if they actively listen and engage with others who know more than they do. As a business owner, it is my job to hire people who are better than me so that we have the best team to tackle a problem; it is no different if you are a project manager or not; listening and gaining insights for others is going to save your project time, but most importantly liability as no person in the world can do everything themselves well. I am reminded of a boss who said it's important to only hold in your mind the essential things that are relevant to you in the given moment. If you leave others to maintain the information necessary for that aspect of the project, do that; it will keep your mind free to solve challenges that arise.

The most important thing I learned in school was that conceptual ideas help organize complex problem. As architects our job is to take control of desperate program, site, technical, and social challenges and to create a comprehensible navigable, and usable building. Taking advantage of spatial, circulation, and even color organizing concepts will go a long way to dealing with complex design problems.

Technology is your friend. As professionals, it is imperative that you stay on top of the technology of your industry and actively learn it. Be sure to understand AI before a decade has passed. Learn it now while everyone else is learning it, and the barrier to entry will seem a lot less. Too many professionals from past generations have turned their back on technology. They feel the consequences of their decisions now, making their firms irrelevant. Technology is an essential tool in any business and team. Still, most importantly, it needs buy-in from everyone, so if you are a decision-maker, it is your job to convince or force your team to adopt new technology if you feel it will be helpful in the future.
