What do you do if your active listening skills as a business analyst need improvement?

Active listening is about making sure others feel heard, and their intent is understood. It is often an emotional practice. Listening for the emotion of what someone is saying, not just the facts. So, for a BA when working with stakeholders, we need to listen for the intent of what they are saying which often includes emotions, opinions, facts, and more. The challenge is making sure we are helping others feel heard on all these levels.

-Prioritize attentive listening during meetings and discussions. -Practice maintaining eye contact, avoiding distractions, and refraining from interrupting speakers. -Show genuine interest in what others are saying by nodding, paraphrasing, and asking clarifying questions to demonstrate understanding. -Put yourself in their shoes to gain deeper insights into their needs and motivations.

One thing I have found helpful in listening to others, I always ask and put myself in the position of others, especially those seeking my help. Would I be happy or want to say more If I feel not heard? And that is where self awareness comes in. When others feel heard, they want to say more, when they feel your empathy about their issues, that's where they're likely letting it all out. Active listening is one very important skill as a BA. You want to know more about the project, then listen more than you ask.

When I realized my listening skills were lacking, the first step was acknowledging my flaws. Reflecting on meetings, I noticed instances of misunderstandings and times when I missed details because I was too focused on my next response. This self-awareness prompted me to actively seek feedback from colleagues about my listening habits, which was eye-opening. I started practicing mindfulness to be fully present in conversations, and I studied techniques to enhance my listening, such as paraphrasing to confirm understanding. Over time, I saw a big improvement in my ability to capture the essence of discussions, leading to more effective & accurate analysis. In the world of Toastmasters International, you're taught to use the CRC method when providing feedback. Commend, Recommend, Commend. I've always liked this approach as a way of providing feedback to people, and I also use it as part of my own reflection. What went well in the meeting? What one thing could I improve on for the next meeting? What can I really focus on next time to make it even better. As Albert Einstein said, "If we only did half the things we said we would, we would literally astound ourselves."

Approach with Humility: Approach the feedback process with humility and openness to criticism. Acknowledge that you're seeking feedback to improve and genuinely value the perspectives of others. Choose the Right Timing and Setting: Pick an appropriate time and place to solicit feedback from colleagues and stakeholders. Ensure that they're not rushed or preoccupied, and that you have their full attention. A private and comfortable setting can encourage open communication. Be Specific: When asking for feedback, be specific about what you're seeking input on. For example, you might ask questions like, "Can you provide feedback on how well I listen during our team meetings?"

Seeking feedback is crucial. It can be done by asking colleagues or clients directly how well one understands and responds to discussions. For example, after a project meeting, asking for feedback on the comprehension of the project changes or the concerns raised can provide insights into listening effectiveness.

Silence your phone, close unnecessary computer applications or browser tabs, and find a quiet environment where you can focus without interruptions. Maintain Eye Contact: During conversations, maintain eye contact with the speaker to demonstrate your attentiveness and engagement. Focusing on the speaker's eyes can help anchor your attention and prevent your mind from wandering.

If you've ever had to interact with a curious 5 year old, they constantly ask why all the time. Sometimes they will drill down even further on the same thread until you get to the point where you say, "Just because". A good active listener is someone that is curious and loves to ask questions and lets the other person do most of the talking. If a customer wants to challenge something, a tactic I use is Feel, Felt, Found. "I understand the way you feel about X. In fact many of our customers have felt the same way. However, by doing X, they found they got Y improvement etc. It's a nice way to reframe a challenge into a benefit.

Paraphrasing: Paraphrasing involves restating what the speaker has said in your own words to confirm understanding. It demonstrates to the speaker that you are actively engaged in the conversation and helps ensure that you've interpreted their message correctly. For example, you might say, "If I understand correctly, you're saying that the main challenge we're facing is..." Asking Open-Ended Questions: Asking open-ended questions encourages the speaker to provide more information and clarify points, fostering deeper understanding and engagement. These questions typically begin with words like "what," "how," or "why" and invite the speaker to share their thoughts and experiences.

Enhancing techniques involves adopting strategies such as summarizing what was heard to confirm understanding, and asking open-ended questions to gather more information. In team meetings, paraphrasing key points back to the team to ensure alignment on project goals can be a valuable technique.

Eliminate Distractions and clear your mind of internal distractions and eliminate external ones to focus better on the conversation. Also keep an open mind and avoid mental filters that might skew the information you receive.

Seek Feedback: Continuously seek feedback from colleagues, mentors, or supervisors on your active listening skills. Use their insights to identify areas for improvement and tailor your learning efforts accordingly. Practice Reflective Listening: Practice reflective listening techniques, such as paraphrasing and summarizing, in your daily interactions. Pay attention to how well you're able to capture and restate the speaker's message accurately.

Constant practice is necessary in honing any skill. We learn by doing. How do we get more practice? We can practice with friends, colleagues and family members. These are people that we interact with the most, so they provide countless opportunities for active listening. For example, your friend is telling you about an incident at work, be sure to summarize what you are told. Use as many of the exact words that the person used in recounting the incident. Begin by saying, "Did I hear you say... This forces you to listen actively. By practicing this you will get better and better at active listening. This will become so much a part of you that you will be an active listener in both your personal and professional life.

Learning continuously through workshops, seminars, or online courses on communication and active listening is beneficial. Engaging in learning opportunities that provide strategies to improve questioning, paraphrasing, and feedback can directly impact the effectiveness of requirement elicitation and stakeholder engagement.

Applying these skills regularly is essential for improvement. Making a conscious effort to listen actively in every interaction, whether it's a formal meeting or a casual conversation with a team member, ensures continuous practice and refinement of listening skills.
