What do you do if team members are hesitant to communicate openly?

In every team it is important to build a personal bond apart from the professional rapport. It really helps members open themselves to other team members. This could be in the form of an outing over a team members birthday or maybe a dinner hosted by the manager to break the ice. You can also start by emphasizing open communication’s benefits like improved problem-solving and stronger team cohesion. Provide personalized support, coaching, and training on effective communication techniques, active listening, and conflict resolution. Encourage feedback, foster trust through team-building activities, and regularly evaluate communication practices to ensure continuous improvement.

What do you do if team members are hesitant to communicate openly? If it is a true TEAM atmosphere, then this is not an issue. But when the team is hesitant, it says a lot about the leadership or lack of promoting the hesitantcy. Do better leaders. Promote collaboration and openness.

Some people are shy by nature and that's okay. But it's up to each team member to ensure every voice is heard and respected. Don't listen to respond. Listen to understand. Acknowledge their contributions. Tell their manager where they shined that week. Always be a cheerleader for others!

Nothing is worse than leading a team meeting and no one has anything to share or add to the conversation. If you do not create an environment that allows and encourages team members to share their opinions without feeling threatened or belittled than you will never encourage open dialogue. Acknowledge the teams suggestions and concerns. Lastly ensure that you implement what is shared so that they can feel valued and heard

There is a saying, "No one has cornered the market on good ideas." With that theme in mind and that culture in existence you can create a factory of thought. With that openness to thought you have the foundation to encourage reluctant team members to share their thoughts. As a leader you may have to coax those into sharing. Here is where a flexible approach comes into play. Look at public or group phobias for them to share. Open up one on one conversations with the reluctant and give them a dedicated time to elaborate in their ideas and support them as a co-presentor if needed. At the end of day install confidence little by little over time and celebrate their growth publicly to come full circle with the culture in place for your teams.

I find that one of the qualities of being a good leader is knowing how to identify and engage team members in a style that suits their personalities. Sometimes you have to be the one to actively engage and draw opinions out of team members. It's kind of like how in school, there are some people that never raise their hands to answer questions not because they don't know the answer, but just because they might feel too timid or need some motivation.

Encouraging dialogue starts with helping the team to understand how they communicate. I've worked with DiSC to facilitate better communication by identifying our tendencies and how we impact each other. Teams are more diverse than ever, and with diversity of mind comes diversity of communication. Many individuals now prefer text messages and emails to in-person conversations and phone calls and vice versa. Misunderstandings can arise when we misinterpret the tone of voice in text or perceive a preference for text communication as a slight against me. Address conflict but be fair and transparent and ensure you have heard all perspectives there are and not only of the leaders or people from on side of arguments. Don't do: Pretending all is well. Not listening. Dismissing concerns. Listening only to the loudest voice. Adding bias especially when the conflicting team has people who are marginalised or find it challenging to be heard e.g. women, someone introvert or who is not loud

Conflict stems from cultural norms, miscommunication, and our brains filling in the blanks unintentionally. I have worked with Kim Carpenter on some Resilience training- understanding the amygdala hijack and neuroscience behind how her brain processes information helps. You have tough conversations from a new lens. When your amygdala is hijacked your brain isn’t thinking properly, and you may actually tune out, stop, listening, and those triggers can create heated moments that lead to conflict if you don’t deal with them in the moment. If as a company you have had these conversations as a separate topic, then when heated conversations come up, you can identify when you’re in a hijack situation and take a break as a team!!

Addressing conflict is never easy especially if you do not a confrontational person with a team of strong willed individuals. It is important to address all the challenges, be transparent, be professional and ensure that everyone feels seen and heard. Do not take sides and be fair.

Take the time to understand why team members may be hesitant to communicate openly. It could be due to fear of judgment, lack of trust, hierarchical barriers, or previous negative experiences. By identifying the underlying reasons, you can better address the root cause of the issue. Build Trust

Make sure everyone in the team feels okay sharing their thoughts and ideas without worrying about getting in trouble. Tell them it's important to treat each other with kindness and to listen carefully when someone is talking.

Setting examples is important!! as a leader you can lead by example in the situation and use vulnerability. For example: “ my trigger is injustice. When I see things that are not fair and equitable, my brain goes into the make the hijack and I get really upset if people or dismissive around this subject” Another example: “ my trigger is illogical behavior. When things are illogical to me, I have to ask 1 million questions to figure out what the root causes of this illogical behavior so that we can address it and come to a better solution” What’s injustice, or illogical to one person may not even be on someone else’s mind. Knowing that this is a trigger for someone helps you be more sensitive to the word you use or see why they got upset

What I have found effective to encourage communication is by sharing first. Especially if you discuss a project or task that was difficult or had some issues. By talking through the challenges and what you did to solve them it can provide examples for others and hopefully lead to them sharing similar experiences. Further by showing not everything goes smoothly all the time it allows other to be more open in communication and what they are struggling with.

When team members do not communicate openly, a common, and often mistaken, reaction is to become overly solicitous with your own communications (read: unpleasant micromanager) in an effort to encourage them. Consider "Talk Lean" by Alan Palmer for an effective alternative approach - being direct or brief yet polite in team settings can lead to increased participation, faster results, better relationships, and shorter meetings.

As a leader, demonstrate openness and transparency in your own communication. Encourage honest dialogue, share relevant information openly, and be receptive to feedback. When team members see you modeling open communication, they are more likely to follow suit.

You can help your team get better at talking with each other by offering classes or workshops. These can teach skills for good communication, solving problems together, and making the team trust each other more. Also, make sure they have help and things they need to get better at talking to each other.

Absolutely especially if your team comes from diverse backgrounds or skill set. Start with a clear gap analysis and find n solve skill base gaps with training and support.

Highly recommend hiring some type of communication or resilience coach to come in and have these tough conversations with your company. The it’s actually teaching you how to have the conversation that’s important. Having an outside, third-party to have these conversations takes away some of the awkwardness, and you can use these verbiage and skills in every day situations … “we are being hijacked, we need a break”. We need to have these type of trainings before you get into the heated situations so that you can identify them and have a game plan on how to address things that happen in real life. Communication styles annoy, each other’s triggers, important for effective communication and trust

Some team members may need guidance on effective communication skills or conflict resolution techniques. Offer training sessions or workshops focused on communication skills development. Provide support and coaching to help team members overcome any barriers to open communication.

Look at the systems or patterns . Maybe there's something that's systematically hindering open and transparent communication for not only the current team but for others too.

Remember, changing communication patterns takes time, so be patient and persistent in promoting open communication. Continuously reinforce the importance of open dialogue and provide ongoing support to help team members feel more comfortable expressing themselve
