What do you do if stakeholders are not engaged in your social impact project?

If stakeholders are not engaged in your social impact project, it is important to first try to understand why they are not participating. This could be due to a lack of communication, unclear goals, or a lack of understanding of the project's purpose. To address this issue, you can try reaching out to stakeholders individually or as a group to gather feedback and address any concerns they may have. It may also be helpful to provide more information about the project, its goals, and the potential impact it can have. Building relationships with stakeholders and showing them the value of their involvement can help increase their engagement in the project.

One question you need to ask is at what point did you include or involve them in the project. Stakeholder engagement needs to be done at the onset of the project as there is need to co- create and co-design project a activities to address the immediate needs of the community.

This post is focused on what to do if your stakeholders are not engaging, and I think it's important to start defining what engagement means to you and your project at the outset, and not wait to be surprised by a lack of engagement at the end. There is a tendency among project managers -- and I have made this mistake! -- to take a sort of "build it and they will come" approach to engagement. We map our stakeholders, define our methods, launch and then fall flat when people don't come running to engage. But what does meaningful engagement mean to your beneficiaries, not just your project team? Knowing that can help better identify the gap between stakeholder needs and project expectations.

The first step is to thoroughly map out all the key stakeholders involved in or impacted by your social impact project. This includes not just your direct beneficiaries, but also community members, partner organizations, government agencies, funders, employees, and any other relevant individuals or groups. Engaging a diverse set of stakeholders is essential for ensuring your project addresses the needs of all affected parties.

While mapping stakeholders, proper exercise has to be done in identifying all and to categorise them as primary and secondary stakeholders. If we do not have a proper methodology for mapping, we may miss out some of the invisible or stakeholders who are not directly related or fall within sphere of influence of the project. Hence a proper field level dialoguing has to be facilitated for mapping

Transparent, and consistent communication is essential for maintaining engaged stakeholders. This means regularly sharing updates, soliciting feedback, and addressing any questions or concerns in a timely manner. Leverage a variety of communication channels - from in-person meetings to digital platforms - to ensure your messages reach all stakeholders.

Never assume you know what is best for your stakeholders, or what they need and want. You need to ask them! Before trying to fix a problem you need to find out really what is the root cause. To do this you need to observe the situation and context you are dealing with, if you don’t observe before taking action then your well-intentioned impact could turn out to be negative. To make sure you are having the impact desired hold yourself accountable and ask your stakeholders if you are having the impact you intend. Don’t assume that you have created a positive impact, i.e. reaching 1000 doesn’t necessarily mean you are having the intended impact on those 1000 people, or any impact at all.

To engage stakeholders in your social impact project, start by thoroughly understanding their needs and expectations. Conduct surveys, interviews, engage directly, and compliment with analyzing indirect information like news, social media, economic reports, and government publications/data to gather insights into their priorities and concerns. Use this data to tailor your project's goals and communication strategies, ensuring they resonate with the stakeholders' values and interests. Reiterate with direct field validation with those stakeholders, making sure they are involved in the entire process.

While stakeholders focus on implementing their organizational strategy, it’s essential to personally connect with the people who engage with you and your projects. Take the time to truly listen to and learn from these individuals. Avoid assuming that you know their expectations or their definition of success in collaborating with you. Cultivate a culture within your organization that encourages continuous engagement with stakeholders. Share what is working well and what isn’t. Collaborate openly to understand needs and find effective ways to align expectations. And above all, don’t forget the human connection. In my experience, holding difficult conversations that brought clarity and focus made the partnerships stronger.

Once you know who your stakeholders are, it's imperative to learn how they prefer their communications. If your stakeholders are deskless employees, and you are constantly emailing them but not receiving responses or feedback. then you need to reevaluate your communication channels. Once you know how your stakeholders communicate, you will want to try out different types of communications to see what resonates with your stakeholders best. Do they want to hear about the amount of money your company donates, the impact your company has on the charity partners, or stories of employees making an impact. Be sure to change it up but don't be discouraged if a type of communication doesn't resonate; make note and move on.

Although the project is the same the storytelling must change depending on the stakeholder you want to engage. But in every case the communication have to be open and honest.

It's important to define what co-creation also means with your stakeholders. Have an open conversation from the start on how you want to equally contribute to the brainstorming, design and testing process. Make sure your stakeholders have an equal voice as you throughout the process, from design to evaluation. Don't shy away from having honest and difficult conversations, where everyone feels safe to share their honest feedback and disagreements to make your social impact projects better.

First, it's crucial to determine the power stakeholders have and their intentions toward the project. Understanding whether they have the power to impact the project and whether they support or oppose it is essential. Assess the relationships among stakeholders and consider strategies to improve the project's chances by working with those who support it to influence those who oppose it. Conduct a stakeholder analysis to define strategies to improve their support. This involves identifying potential risks and understanding the risk profile of key stakeholders.

If you are leading a stakeholder board, or matrix teams there will be a great deal you can learn and use in your project development. Wisdom, knowledge and passion for your cause is essential to maintain project momentum and manage financial risk en route to achieving clear goals.

Stakeholders are more likely to remain engaged if their efforts and contributions are recognized and celebrated. This could involve public acknowledgments, small tokens of appreciation, or even more substantive rewards like financial incentives or professional development opportunities.

Stakeholders generally feel unconnected when they are not kept in the program loop of rewards and recognition. As we will involve them at all stages of the process, they will feel connected and accordingly resonate to your cause.

Show stakeholders how their involvement directly contributes to advancing the Sustainable Development Goas (SDGs), enhancing their sense of purpose and commitment. By connecting the project's goals with the broader SDGs and fostering a collaborative and inclusive environment, you can rekindle stakeholder interest and support for your project. Use platforms for building collaboration and create dedicated spaces for stakeholders to engage in discussions, share resources, and support each other.

Not only sharp and proper in executing our strategy but we are also required to evaluate and improve the engagement strategy we have made with the stakeholders. We should always seek to improve our stakeholder engagement process and outcomes. Continually evaluate the engagement, review the analytics, ask for stakeholder feedbacks, and then incorporate that engagement. This will help us keep our engagement relevant and keep our stakeholder engaged long-term — perhaps even in our future projects!

Stakeholder engagement is an ongoing process that requires continuous evaluation and refinement. Regularly solicit feedback, measure the effectiveness of your efforts, and be willing to adjust your approach as needed. Embrace a culture of learning and iteration to ensure your engagement strategy remains relevant and impactful.

Clearly define the objectives, purpose, and target audience of your evaluation, ensuring the alignment with your overall strategy. Transparently communicate how stakeholder contributions enhance our intervention. Actively seek feedback to validate impact assumptions, identify potential unintended negative consequences, and bring forward marginalised voices. Most importantly, leverage impact data to optimise decision-making processes.

For any expert in social space, to design tools and methods to bring comprehension, he or she must thoroughly get engaged in project process and it's deliverables. It's not just domain knowledge that make them experts but their abilities and skills to be Empathetic, Patient and Caring. There are many instances of failure of projects when monitoring and evaluation systems and methods are not fool proof.

Start again. Sounds brutal, but if your stakeholders are not engaged then you're likely doomed to fail. Find out what went wrong, learn from failure, and go again.
