There are lots of things in the 'execution category like insurance, as Susan says. This holds true for every negotiation. So, you're going to DC to shoot some custom 'tourist pictures'. Ok. How many pictures? Do they need to be released? How do they want to use them? Brochure? Ad? House Organ? Distribute to travel people? How many do they want in each image? I could go on and on. What you do is ask broad questions, understanding as many components as you can, but don't go too far with detail. Do have a basic clear idea and make your best quote. A little high. When they balk, every little individual piece, picture or rights becomes a negotiating point. You give those up before you give up money. Like do you really need 12 locations? Well...

You should check that the travel insurance covers not only for damage, theft and loss of your personal belongings, but also your camera and equipment. If not, consider getting a travel insurance specifically for travel photographers which includes replacement of cameras, lenses, lighting and other photography related equipment.

I would add the portion of the depreciation of the photographic equipment in addition to the portion of the relevant insurance. these two values are rarely taken into consideration, assuming that they are not relevant. when we go to a doctor, a dentist, the cost we pay not only includes these, but also the cost of the professional's training.

in my experience I use the following workflow: 1) following contact with the customer, I evaluate time, costs and resources 2) I create 3 commercial alternatives 3) I look for information on the client, I look at any other works commissioned by him, if there are any 4) I arrange an information meeting 5) I listen, I listen, I listen
