In my experience how you communicate is critical. Communication is not only a one way discussion or email but the loop should be closed so the project manager is clear everyone understands what the expectations are, they have a chance to ask questions and challenge decisions. Final decisions are communicated via minutes of meetings back to all involved to get formal agreement and this helps to removes any ambiguity.

In my experience the best way to manage project expectations from a business prospective is to have a clear understanding of the project when bidding for the works. Realistic cost analysis, forensic planning including design delivery, material & subcontract procurement & practical construction time is essential. Clear understanding or contract conditions & their implications, & the reality of risk undertaking will enable the project delivery & expectations to be clearly understood & therefore communicated.

Meet pre-tender; understand the clients key drivers and expectations. Meet post-tender; ensure the client is 100% clear on your inclusions AND exclusions - you’ve understood the requirements. Exclusions are the items that will be the bitterest pills to swallow, don’t leave them to site. Hold official pre-start; if you’re a sub-contractor bring forward your own document, drafted by Senior Managers/Directors; define the items that are most important to your business - in conjunction with client pre-start document, this should leave no stone unturned and in turn, expectations are managed.
