What are the best ways to document project knowledge for future use?

Project knowledge documentation is done right from the charters, status reports, project plans, UAT trackers, lessons learnt documentation, benefits realisation etc As a project leader it's important to help the project sponsor and teams socialise with all these documents. These documents have to be formally communication and stored in the project repository

To document project knowledge effectively: - Keep project documentation organized. - Create lessons learned reports. - Use project management software. - Document meeting minutes and status reports. - Maintain version control for documents. - Develop and share SOPs. - Encourage mentorship and training. - Implement searchable tags and keywords. - Regularly update and archive project information.

In my experience I had projects where documentation guidelines and policies where provided by customer and/or the organation to whom I work, so I just need to proceed accordingly. In the projects where nothing is provided I always set in place what I call the minimal project documentation guideline which guarantee: 1) Project knowledge is in the documentation, not in the team resource 2) Easy to accumudate changes in project teams (key-users, sponsor, PM and/or resources) 3) All projects decisions are supported with evidences 4) Project documentation is accessible and searchable 5) Users permission can be controlled This guideline is shared with everyone and I assess through out the project that is being followed.

Project knowledge documentation done wrong would be just another file/document occupying space and awaiting for the 'treasure hunter' to find it, hopefully at the moment of need. Question is how do we get these information easily accessible to the person/anyone needing it, in future. Today projects are complicated, very detail and involved thousands of documents. Hence, digitization is a must. Cataloguing varies based on project needs and relevance hencenit cannot be fixed. Keywords to search such documents becomes apparently the most important.

I think this often depends on the knowledge, but I do find that where it's possible a recorded Powerpoint presentation with audio is a great (and actually less time consuming than you'd think) way to engage people. This can of course only be broad sweeps and needs linking to more detailed project documentation which is often generated anyway, but it gives those not involved in the project a flavour of what is available.

Documentation is only useful if it's updated often (as things do get stale quickly), trained consistently, and stored in one location. When looking at documentation and knowledge-sharing, we use a similar template to ensure the outline is similar to our other training docs, reviewed properly and then posted in the appropriate sub-folder within the main location. We utilize a daily stand-up meeting to review new information, which helps efficiently share the information (without another meeting) and ensure all questions are addressed during this time. We also document all of these with dates and return to them within 6-12 months (depending on the nature of the content).

Like you mentioned that there are multiplicity of methods and tools, I do however believe that tools and methods are derivative from the intended purpose of the project and implementation strategy of project teams

We have an After Action Review at the end of the project, where successes, surprises and problems are discussed openly, and documented. We end by looking at how we can improve for next time. We use an AAR template.

Priortizing the right stakeholder via stakeholder management technique is imporatnt. With a shared vision and goal the project usually gets completed before time or on time. Managing the critical path can be achieved only if project team and stakeholders are on the same page.
