A few points from my experience 1. Plan scouting trips to multiple locations in the same area to maximize efficiency. Use mapping tools to optimize driving routes and minimize travel time between sites. 2. If possible, delegate location scouting tasks to a dedicated team or individual. Communicate roles and responsibilities, and establish deadlines for submitting scouting reports. 3. Take detailed notes and photographs of each location during scouting visits, and keep thorough records of all communications with property owners or managers. This documentation will be valuable during the decision-making process and when securing permits later on.

Looking for locations is usually the biggest part of pre-production on most films - unless the film takes place all in the studio or you are going for that “green screen” look! Locations have to be locked in as quickly as possible so that all departments can begin working on their budgets and schedules. a. After reading the script, the location manager has a concept meeting with the producers and the director. b. The location manager (and location scouts) find as many choices as possible for the Director. c. The location manager sorts through the first choices with the Production Designer to choose which locations to show the Director.

Research and networking is everything. Through proper research and networking you are able to know the who's. Again you are able to know what to do at what time. Managing locations and scouting for locations can be very tricky especially if you haven't done your research and you don't have proper connections. So research and connections comes first.

You should schedule your site visits according to the shooting order and the availability of the locations, as well as the travel time and distance between them. Here are a few things you need to look for when scouting locations: a. What are the actual location requirements? What time can we get into the location? What time does the Unit need to be wrapped out? b. How accessible is the location for equipment? Where are the loading docks, elevators and stairs? c. What is the lighting set-up time? Do we need to place lights and cranes outside on the street or on the lawn? d. Where can we park the work trucks? (Grip, electric, camera, sound, props etc) Can we keep them just around the corner? Do we have to unload all the equipment from the trucks and bring it into the location? e. Where is crew parking? How long will it take the crew to get to the set? f. What are the location Curfew times?

During and after your site visits, you need to communicate and collaborate with your team to make the final decisions and arrangements for your locations. You should share your findings and feedback with your director, cinematographer, production designer, sound designer, and any other key crew members who are involved in the creative and technical aspects of the film.
