A scope management plan with clear deliverables, and clear methodology for delivering the scope with costs, timeframes, and quality processes should always be in place for reducing the disputes later on the project. Usually the contract documents for a construction project should have a clear scope definition.

The key to a smooth project? Defining the scope and goals upfront. Think of it as the project's roadmap. We work closely with clients to nail down objectives, deliverables, timelines, budgets – the whole shebang. Why's this important? Keeps everyone on the same page from the get-go. No surprises, no misunderstandings. Plus, it helps us identify potential risks and avoid that dreaded "scope creep." Think of it as a win-win: Clear communication: We all know what's expected. The best tools for communicating progress to clients include project management software like Asana or Trello for task tracking, along with regular email updates and scheduled check-in meetings. Utilizing clear and concise progress reports, visual aids like charts or graphs, and collaborative platforms such as Google Drive or Microsoft Teams can also enhance communication and transparency throughout the project lifecycle.

Some contracts dictates the communication methodology. Moreover, some clients have their own PMIS (Project Management Information System) and they provide access to contractors and subcontractors to use it throughout the project life cycle. Other than that, a written clear communication to the right epople is the best when it comes to any matter in my personal opinion. Disputes may arise for lack of written communication through appropriate channels. Some contracts dictate for example the use of Aconex, or Ineight or etc. as the only way of formal communication. Always check the contract and keep anything related to project deliverables and/or anything that may cause dispute in a written form.

I use project management platforms like Asana or Microsoft Teams for tracking progress and collaboration. For visualizing key metrics, tools like Power BI or Tableau allow clients to see real-time updates on schedule, budget, and performance.

Clear and timely communication of progress is essential for building trust with clients and keeping projects on track. BIM dashboards or project management software (Allplan Bimplus, Microsoft Power BI, or Autodesk BIM 360, etc.) provide real-time visual reports of key metrics like budget, schedule, and task completion.

The best way for communication is to keep an open channel with the client. One of the best way to do so, is to create a live dashboard with access of all the concerned people to show live the progress. The dashboard may have an updated frequency of daily or weekly, but still shows directly to the client the data required.

Regular check-ins via emails, dashboards, and meetings ensure clients are updated on achievements and any challenges. Transparency builds trust, and proactive communication prevents surprises.

Some contracts clearly mention how to deal with changes. In case, it is mentioned then it should be broken down and distributed to the relevant parties in the easiest way possible to follow the process mentioned. In case, the contract is silent or not clear about the methodology of dealing with changes, an agreement should be made with all parties in a form of a plan and workflow with time barred activities on how to deal with the changes. This can be formal or informal to align everyone when a change pops up.

When changes arise, I use a structured change management process, documenting all requests and approvals. Immediate communication with data-driven insights helps clients understand impacts and approve necessary adjustments.

Visual Project Walkthroughs (3D Models and BIM) ? Use 3D BIM models to present the current state of the project. With platforms like ALLPLAN or Bimplus, clients can explore the model in real-time, gaining a better understanding of progress. ? Provide on-site photos and videos to document key milestones and construction progress. ? BIM dashboards or project management software (e.g., Bimplus, Microsoft Power BI, Procore, or Autodesk BIM 360)... By using a combination of these tools and methods, construction teams can maintain open communication and ensure that clients are kept well-informed throughout the project’s lifecycle. This not only builds stronger relationships but also reduces misunderstandings, ensuring smoother project delivery.

One of the most useful things I learned is to document "Small wins", that is small things that happens frequently that we usually forget that it is a good thing to do. For an example, a new formulated sheet that is created to automate scheduling of something, or a better way to draw a workflow, or a win-win negotiation deal, or avoid variation order by a subcontractor, etc. The other most important factor is lessons learned, the more detailed the better. Sometimes, when you write the lessons learned you may think that everyone understands it because you do, but it is better to always have a peer review from someone who was not involved in the case. It maybe someone from headoffice, or someone working in another project, etc.

Acknowledging small wins and conducting post-project reviews are essential. I ensure both successes and lessons learned are documented, shared, and used to improve future projects.

Trust takes time to build and seconds to break. That's a quote to keep in mind for heaps of reasons. If the client trusts you, this will makes everyone life easier and you should always aim to do so, and work hard to build this. Moreover, it will help you in personal level as well, knowing that you are a trustworthy employee and stands your grounds.

Following up after project completion, providing ongoing support, and maintaining contact keeps relationships strong. Offering insights and solutions post-project demonstrates commitment beyond the immediate contract.
