What are the best strategies for managing the increasing demand for case management services?

Consider delegating certain tasks to qualified team members or collaborating with experts in specific areas, such as legal or financial aspects of cases. This collaborative approach can improve the overall quality of service provided to your clients and allow you to tap into specialized knowledge and resources when needed.

Assessing your capacity in case management involves evaluating your ability to handle workload, make decisions, and fulfill responsibilities. Consider factors like workload balance, time management, and emotional resilience. Regular self-reflection and feedback from colleagues can aid in this assessment.

If there's increased demand for case management services, it is important to access your capacity that is, human resources, technical, financial capacities and emotional resilience of the case management team. Can your present case management team respond to these needs without strain or being overwhelmed? Is there need for staffing, training or equipment? If no resources for the aforementioned, are there other actors in your location with the capacity to respond? How do you leverage on the capacities of other actors to ensure timely response to growing needs? How will you complement the interventions of other actors to ensure quality response to growing needs?

Hire, train, and pay case management staff. Be intentional about how you assess capacity, then make an intentional investment to fill capacity gaps. Behavioral health professionals are overworked and underpaid. We have to acknowledge that and support the needs of the staff so they can better support their clients.

Utilize your assistants. As care/case managers we try to maintain a sense of control; but we need to develop a relationship with our assistant if we have them, delegating appropriately will hopefully free up more time to take on new cases. Beware of taking on too much though, we do not want to compromise the quality of care we offer.

It's crucial to stay informed about these advancements and be adaptable. Attend relevant conferences, participate in continuing education, and network with peers to stay up-to-date.

It is fundamental to adapt case management tools and systems to evolving technological trends. A good digital case management information system can be developed by a diverse team of case management and IT experts, with multiple functions like case management supervision, incident monitoring, platform for reporting cases, coordinated referrals and many more. With the support of IT experts, helplines can also be directly connected to the reporting platform. With this system in place, a safe, secured, convenient, timely, coordinated and quality response is guaranteed. I'll strongly recommend a digital system like the GBVIMS/ CPIMS Primero.

Incorporate telehealth and virtual collaboration tools into your practice. Telehealth can provide access to care for clients in remote areas.

In this area, I'll recommend the regular mapping of actors, establishment of /participation in working groups and steering committees for coordinated response, develop / regularly update referral pathways, joint capacity building sessions, Experience sharing sessions with other actors on best practices for case management within a given context, lessons learned workshops with case management actors, joint resource mobilization efforts, intersectoral collaboration for holistic response and strengthen strategic partnerships for quality case management.

Providing your direct care staff with the supervision, emotional support and learning opportunities to be at their best can go a long way in successfully meeting the demands of case management services. Attending to emotional process by listen to and validating our employees' experience BEFORE problem solving is a crucial step. Too often employers/supervisors put the cart before the horse. Few things are more alienating and isolating than having one's distress responded to by solutions/strategies that may not seem appropriate to a stressed workforce. Cognitive flexibility for effectively acting on proposed strategies/solutions is more likely when effective listening and compassionate understanding are part of the relationship.

One more thing to consider...consider saying "no, thank you." After honestly reflecting on your boundaries you need to be able to stand firm with those boundaries which often requires you to turn down new clients, meetings, or other duties proposed to you. It's not going to feel good (at first) and you may feel the need to defend your decision but as a mentor once told me - keep it simple, sweetie. Most people will understand without needing to ask intrusive questions. They may even realize it's okay for them to say no too! At the end of the day, leaders need to know what their teams are truly capable of, not what they wished for in an ideal world. It wouldn't be hard to find an academic article on how detrimental high case loads can be...

Although it can be hard to balance effectively connecting patients to resources, while having firm boundaries both with patients and other providers. I feel like there's a lot of ways to be good at it. You can be slow, steady and dependable; you can be quick and flexible and multitasking like crazy. I think the best thing you can do is set and follow scheduled appointments, be clear with patients about what you can and can't do for them, and maintain boundaries both with patients and other providers. The SMART goal format is wonderful. Lastly, it would be helpful to allow other healthcare professionals the opportunity to work in Case Management.

It is very important to know how many cases constitute normal versus over workload. When demand increases management needs to know when to stop and make external referrals so as not to put strain and stress on the existing human capacity. Burnout is real and can slow down good work due to employee downtime. Problem solving with consideration for available resources is the main key. If there is possibility liaise with volunteers, students, interns if this is available to manage larger demands.
