What are the best practices for onboarding new hires remotely?

In my experience, especially in small companies and startups, there are limited resources for HR software and most of the time they are not encompassing the full employee onboarding needed for a remote company. At the very beginning, you do not need fancy software. You need a solid understanding of what your new hire needs and your project management and simple automation can do 90 % of the heavy lifting for you. But remember onboarding is not only the tech, logins, team intros and docs. It's about setting your new hire up for success from day 1. It's an investment in the success and retention of your team members, contributing to a positive workplace culture, improved performance, and the overall success of your organization.

Choosing the right HR software is so important when onboarding new hires remotely. The first step must be what are your clear objectives and processes for the platform. Is it secure, simple to use and can be used across the organisation? Will the software be able to seamlessly fit with your pre-existing tools? Opt for software that allows customsation of workflows. The software must be secure and safe. By being picky on what HR software to use it can allow for your onboarding for remote clients to be a bit easier.

Begin with a clear plan outlining expectations, key milestones, and a schedule of virtual meetings and training sessions. Utilize video conferencing and collaboration tools to introduce new hires to their team and company culture. Provide access to all necessary digital resources and tools from day one. Assign a mentor or buddy to offer guidance and support, helping new employees acclimate more quickly. Maintain regular communication to address any questions and ensure a smooth transition into their new role, keeping them connected and engaged from the start.

Choosing an HRMS that is flexible and robust that allows you to have options and has agility is critical. It should also be able to integrate with other systems as well. A few years ago, a start up - which is dynamic and fast moving by nature - had a HRMS that did not allow us to onboard someone who did not go through the recruitment module, or rather the process to onboarding was lengthly and multiple external interventions from were required to onboard. It is extremely important to have your internal policies in place before you finalise an HRMS on on feasibility.

I cannot emphasise on the importance of communication and staying in touch with the potential new hire before, during and post their onboarding process. Using the HRMS to send frequent checkin, ensuring that documents required are uploading for eg. Prior to joining - Keeping the respective stakeholders informed, be it assets like electronics, swags kits, welcome kits etc. - this can be easily customisable and information based on specifications and levels will be sent out automatically, reducing human potential human errors. It also frees up HRs time to have a one to one conversation with the potential new joiner and keep them engaged while ensuring the process is seamless, efficient and effective.

In my experience, there are 3 key communication stages in remote employee onboarding: Stage 1- Pre-Onboarding: This stage involves preparations and communication before official onboarding. It includes sending welcome emails, providing necessary tools, and creating a clear first-day agenda. Stage 2 - Onboarding: Here, new employees receive orientation, training, and introductions to the team and company culture. Effective communication is essential to ensure they feel welcome, understand their roles and have the right guidlines. Stage 3- Follow-up: Go beyond paperwork, ongoing communication is critical. Regular check-ins help monitor progress, address concerns, and provide continued support for the new employee.

2 things I found helpful: 1. The need of clear and frequent communication in remote onboarding: Clarity: The lack of face-to-face interaction might lead to misconceptions when working remotely. Clear communication helps to keep everyone on the same page. Engagement: Regular contact makes new employees feel connected and engaged, even if they are not physically present in the workplace. Support: It enables new employees to ask questions, receive feedback, and obtain the assistance they require to thrive in their new role. 2. Tips for Clear and Frequent Communication during Remote Onboarding: Regular Check-ins: Schedule regular check-ins to provide feedback and encourage Peer Interaction.

Communication is the key, most importantly the systems should talk to each other to provide a seamless flow of information about the candidate for a smooth onboarding. Secondly, making the candidates comfortable with the remote onboarding process with available support for timely help as required by them. Recruiters play a key role from hire to onboard given they have had a longer connect with the candidate during the hiring process. This also ensures, a two-way dialogue and candid feedback by the candidate which impacts their experience on the 1st day with the organization.

In addition to our virtual onboarding events where they learn and network from colleagues, we put together a learning journey on our LMS, Cornerstone. Additionally, we created a SharePoint site as a quick resource with three key sections: 1. About the program and key links to access software and tools. 2. Domain and industry-related videos and articles. 3. Links to forums and communities within the company

In addition, I love when companies send swag boxes to their remote new hires and ask them to share images on social media when they do. This starts to make them feel connected quickly and allows their team mates to virtually welcome them.

Define and Communicate Your Culture, Foster Inclusion, Encourage Collaboration, Recognize and Reward, Provide Growth Opportunities, Organize Social Events: Arrange regular social events (workshops, events, etc), Implement Feedback Mechanisms. Examples of inclusion: Training and Education, Mentorship Programs, etc. Examples of social events: Team sports, company milestones, birthdays, workshops, mindfulness sessions, online game nights, remote team lunches. The goal of these: Everyone to feel valued and heard, to improve communication, and build stronger relationships among employees!!

"Personal Connections", the central idea is to promote one-on-one interactions between the new employee and people from different departments. These connections are crucial for integrating the employee into the organizational culture remotely, allowing them to form personal ties that reinforce their sense of belonging and understanding of the work environment.

Here are some best practices for onboarding new hires remotely by establishing clear lines of communication throughout the process. Schedule regular check-ins with the new employee, and be responsive to any questions or concerns they may have. Set clear expectations for what the new employee. Provide online training modules or other resources to help the new employee learn about the company's policies, procedures, and culture. Schedule virtual meetings with team members and key stakeholders to introduce the new employee and provide opportunities for them to ask questions and get to know their colleagues. Assign a mentor or buddy to the new employee to help them navigate their new role. Provide ongoing support and feedback.

I would add that if a company is hiring immigrants or individuals from overseas, these new employees also need to gain a better understanding of the US culture (assuming the company is headquartered in the US). By helping these new hires understand the US business values, differences in communication styles, differences in time orientation, etc., you will be helping them succeed in the workplace.

Continuously seek feedback from new hires about their onboarding experience. Use AI-driven analytics to track engagement, identify areas for improvement, and adapt your onboarding process accordingly. By regularly refining your approach, you can ensure that your remote onboarding process remains effective and relevant.
