Procedure is important for any business and it simply makes sense. We've supported most sectors and organisation types in documenting their IT infrastructure. At the end of the day ACCURATE and USER FRIENDLY documentation’s are important for ensuring effective disaster recovery. It serves as a blueprint, aiding quick identification of affected systems and dependencies. This knowledge repository also ensures efficient recreation of the infrastructure during recovery. Documentation enables proactive risk assessment, reducing vulnerabilities. Accessibility of critical information during crises minimises response time, making it for faster recovery.

As an SRE, IT infrastructure documentation is vital for any automation endeavor. If the operating procedures are tacit information and not runbooks, the effort to develop automation is in another order of magnitude. Automation is required for better Recovery Time Objectives (RTOs) and Recovery Point Objectives (RPOs). If the company adopts artificial intelligence/machine learning (AI/ML), infrastructure documentation and infrastructure as code (IaC) are part of the ML training dataset. Thus, it enables better ML designs and AI-enabled disaster recovery (DR). On the other hand, by running DR exercises, SREs acquire new knowledge from the infrastructure, allowing them to improve their documentation.

The biggest thing that the organization misses today is the right visibility of their critical assets and then their respective dependency on maybe some non critical assets. Organisations need to crack this as a baby step where they should have their CMDB strong not just recording their assets but also their respective dependencies, respective RTOs and on top, how much data loss (RPOs) they can sustain. Sometimes backup and restore methodologies are completely ignored in this and people just rely on building high availability, while high availability can save from site loss or other physical disaster but at times when there is data corruption, malware infection then it is only backup which can save.

Documentation is only as good as its level of currency. Producing reams or word or excel spreadsheets that are neither user friendly nor accurate is a waste of time. Organisations should focus more on CMDBs as their sources of truth around what their production and DR infrastructure should look like and through the change process how to keep them current and in synch. Doco nowadays is about as useful as a door stop.

In my experience being part of multiple BCP events & having hands on expertise among all the important things “Communication” plays a vital role. Gathering the team together & sharing the plan, documentation availability, their purpose & intent, how the team needs to collaborate with cross functional teams to handle any adverse situations are important communication aspects. These needs to be consistently done not just during the BCP time.

When it comes to backups, many organizations look to cloud storage as the grand solution to this problem. After all, why maintain physical mediums and off-site locations when it can all be outsourced to the cloud environment? Proceed with caution, as cloud storage may incur significant costs for the price of convenience, especially for a large-scale enterprise. Failover and fallback are critical processes and involve the creation and transition to an alternative or redundant DC/DR environment when a failure or disruption occurs. Through meticulous documentation, organizations outline the replication frequency, methods, and destination of data and systems, ensuring the existence of a consistent and up-to-date copy in a different location or cloud platform. There are numerous instances I witnessed that can do perfect failover to DR setups but fail to fall back to DC once the Disaster is over; resulting in the risk of single-point failure for the business.

As mentioned earlier about IT infrastructure documentation for all assets as well as data backup and restore plan(s), when applying any replication and failover structure such as (more than one on everything in the infrastructure) despite is it physical (On premises, backups drives, different locations, etc..) or online(on cloud). Documentation on its own is simply an artefact, and artefacts usually end up as curios in museums. The documentation forms part of Knowledge Management, Incident Management, and Service Managemenent. As such, it should be current, available, and accessible. Current - updating the documentation as part of change management Available - the people who need to use it need to know where to get it. Accesible - there's no use doing documentation if you can't get it - storing hard copies is as important as soft copies.
