How do you use your WBS to estimate and allocate resources, time, and budget for your project?

WBS is central to P6 software because since Oracle bought it it became an accountancy product. That is not the same as with ASTA POWERPROJECT software because you don't have to create a WBS first. It is all generated automatically and you can use it if you want to.

Below are the steps 1.Break down the project into work packages. 2.Define tasks within work packages. 3.Estimate resources and time for each task. 4.Assign costs to resources and time. 5.Sum up estimates at each WBS level 6.Allocate budget and resources 7.Include reserves for uncertainties. 8.Automate monitoring 9.Autopilot rescheduling, risk assessment, resource allocation.

The great thing about a WBS is that it breaks your project into small pieces that are easier to work with in so many ways. If someone asked you to estimate the project and resources needed at a high level, it's almost impossible to get it right. But if you look at the project's pieces, you can estimate cost and resources needed easily. Just don't forget to estimate both from the bottom up and top down. There will always be time and effort in integrating different parts of the project.

One caveat to the content here is that it is overkill on small projects. Yes, you want a good WBS with a dictionary. But you probably don't need a formal RBS if you have a handful of people on the project. I don't even know what time breakdown structure is. Never heard that term in over 25 years of managing projects. A Gantt chart and/or a network diagram are still the best tools I know to schedule and sequence tasks.

Firstly, ensure that the project scope is agreed, because this will lay the foundation for all the work to be done. My preferred method is to break the project outputs up into smaller parts. Use a hierarchical product breakdown structure to continue breaking products into smaller and smaller components, until you end up with the parts you develop or buy. These smaller components will each have requirements and quality expectations. From this product breakdown build a work breakdown structure (WBS) and write detailed product descriptions to document all components of the project. This WBS can form the basis for resource and budget estimations.

All the fore-mentioned structuring guides are great. What most are missing is a 6 Sigma tool that measures throughput and identifies shortages in output and quality. The measurements contribute to identifying shortfalls in both human and production assets to move the WBS to maximum leaning efficiency.

Every good WBS is a function of adequate Project Information Gathering especially from the all Technical Stakeholders of the project. One good practice during fleshing out the WBS of your project especially for large and complex projects, is that it very important at the first level work breakdown of your project to approach it Deliverable based or Phase based and not combining both. The second level work breakdown and subsequent level work breakdowns are usually Deliverable based.

Most project management process require a robust WBS to break the work down into manageable chunks, that then cascade into cost and schedule. Try to consider system completion and commissioning in the WBS structure so that it is all inclusive and can be used from start to finish.
