Marketing might think sales throws things over the wall at them, while sales might feel like marketing never gives them clear leads. A process map lays everything out visually, step-by-step, so everyone can see their role and how it connects to the bigger picture. It fosters collaboration by clearing up confusion and helps everyone see how their work fits. The map becomes a springboard for ideas. People can pinpoint bottlenecks, suggest improvements, and work together to find solutions that benefit everyone. It also fosters buy-in. When everyone has a say in shaping the process, they feel more invested in making it work.

Flowcharts: A simple tool that uses various symbols and arrows to represent the sequence of activities, decisions, and steps in a process. 2. Swimlane (cross-functional flowcharts): They are useful for visualizing processes that involve multiple departments or individuals. 3. Value stream maps: They provide a holistic view of the entire value stream by mapping out both the material and information flows. They help to identify value-added and non-value-added activities, waste, and opportunities for improvement. 4. SIPOC: They help identify the stakeholders, inputs, outputs, and the overall scope of the process

Which process mapping techniques you use will depend on objectives, audience and level of detail required. For processes that are not complex I use flowcharts and SIPOC diagrams. Flowcharts use basic symbols to show process steps and decision points. SIPOC (Suppliers, Inputs, Process, Outputs, Customers) diagrams give a high-level view of the processes. It only details the most essential parts of the workflow. For more complex processes I use VSM Value Stream Mapping) or BPMN (Business Process Model and Notation). VSM takes a deep dive into the process flow from beginning to end. It helps identify waste and improvement opportunities. BPMN uses symbols inside a framework that allow for precision analysis, looking at every detail.

I like to sit with end users and watch them work and ask questions during this phase. Document or "reverse engineer" current process. Choose mapping technique depending on the complexity. These can include, flowcharts, SIPOC diagrams, VSM or BPMN). Create the visual representation of the process. Include each step, decision point, input, output and resource. Have stakeholders review for accuracy and make any necessary changes. Identify bottlenecks or waste, determine the root cause and identify improvements. Brainstorm solution, plan, execute, track and adjust.

In my experience the key to process mapping is to keep it as simple as possible. Don't overthink it and overcomplicate it. Be consistent in what symbols and notations are used. This make it easier for stakeholders to understand. Make sure the team is from diverse members with different knowledge of the process. This will help identifying potential gaps. Have the stakeholders review the map for accuracy. Make sure everyone understand the current process before presenting the new one. Keep an open line of communication for changes. Remember processes are living and breathing so they are always changing. Finally and in my professional opinion is to document everything. The initial process, new process and any changes during the project.
