As an IT consultant, one of your key tasks is to translate business needs into IT solutions that deliver value and solve problems. But how do you do that effectively? In this article, we'll explore some of the steps and tools you can use to bridge the gap between business and IT.
The first step is to understand the business context of the need or problem you are trying to address. This means asking questions such as: What are the goals and objectives of the business? Who are the stakeholders and users involved? What are the current processes and systems in place? What are the pain points and challenges they face? What are the opportunities and risks they face? One of the practical ways of looking at a problem to solve is to fully understand the current process and gaps therein. This helps to ensure that the solution being offered and agreed is atleast at par or at best much better than what is already being done. This involves a detailed walkthrough of the flow and steps in any process with the relevant on ground stakeholder so there is minimum room for misunderstanding or stale information
In reference to small businesses, especially those not well-versed in technology, it's crucial to assess their operational capacity to utilize the possible IT solution effectively. While it remains the business's prerogative to ensure they have the necessary expertise, there can be instances where they may not fully grasp the intricacies of the final solution or the level of expertise required for its deployment and use. Given the resource constraints that many small businesses face, due diligence in this regard can provide invaluable insights and ensure that the proposed solution aligns with the business's capabilities.
Investigate the environment and the ecosystem around the scope of your proposed solution. Your solution will be part of something bigger, so you'll need to comprehend these additional platforms and how the business processes flow through them. Asking about the pain points is mandatory, but don't forget to ask about the best attributes of the existing platforms: you'll get a good glimpse on what else the customer values, so you can use it to create additional requirements and enhance your value proposition.
It is good practice to have regular engagement with the Key Process Owners as this will assist in getting a clear understanding of the current Business Process. This will assist in developing a good Workflow to design the Solution.
The next step is to define the requirements for the IT solution. This means specifying what the solution should do, how it should perform, and what constraints it should meet. There are different types of requirements, such as functional, non-functional, technical, and user. You can use various techniques to elicit, analyze, and document the requirements, such as interviews, surveys, workshops, observation, prototyping, use cases, user stories, and diagrams. The key is to ensure that the requirements are clear, complete, consistent, and aligned with the business needs.
Upon receiving approval for the proposed IT solution, there is arguably no step more pivotal than the meticulous gathering of requirements to ensure the solution's success. Equally crucial is the establishment and documentation of success criteria for the solution. Engaging with and sharing these criteria with business stakeholders not only fosters transparency but also ensures alignment with their expectations and objectives. Furthermore, if the focus is on a product development, having clear success criteria can be instrumental in effectively planning your Minimum Viable Product (MVP).
The third step is to design the solution that meets the requirements. This means deciding how the solution will be structured, implemented, integrated, and deployed. You can use various tools to model and communicate the design, such as architecture diagrams, flowcharts, wireframes, mockups, and specifications. The key is to ensure that the design is feasible, scalable, secure, and maintainable.
In today's fast-paced business landscape, foresight in terms of solution scalability is paramount. While it might appear as pre-emptively anticipating multiple phases, it's imperative to envision potential future growth and its implications. This is because, should the business experience exponential growth, there might be limited bandwidth to overhaul or re-engineer the solution. Thus, it's beneficial to ensure from the outset that the solution is not only effective for current needs but is also scalable to meet evolving demands.
The fourth step is to validate the solution that you have designed. This means testing and verifying that the solution works as intended, meets the requirements, and satisfies the business needs. You can use various methods to validate the solution, such as unit testing, integration testing, system testing, user acceptance testing, and quality assurance. The key is to ensure that the solution is reliable, functional, and user-friendly.
During this step it is always a good idea to get some friendly customers onboard to get their feedback. You might recognise this approach in B2C as a Beta programme. In the B2B world, it is way less common in my experience but nevertheless super helpful to schedule some direct sessions for clicking through your new feature or solution to notice common pitfalls or even larger topics like discovering that the enduser might need something completely different. In this case share this findings with the team and discuss how to deal with those new requirements.
While validation of a solution's functional and technical attributes is essential, one must not underestimate the significance of user experience, particularly when developing a product. It's not just about ensuring the user can effectively navigate and utilize the solution, but also about creating an intuitive and engaging experience that entices users to repeatedly interact with it. It's generally advantageous to maintain open communication with stakeholders about these findings. While there might be constraints that make one hesitant to share, I've found that transparency often results in richer outcomes. This approach not only aligns the solution more closely with the business's needs but also reinforces the perception that our efforts are not just transactional, but genuinely focused on resolving their challenges.
The sixth step is to evaluate the solution that you have implemented. This means measuring and assessing the value and impact of the solution on the business needs and goals. You can use various metrics and indicators to evaluate the solution, such as performance, efficiency, effectiveness, satisfaction, and return on investment. The key is to ensure that the solution is beneficial, sustainable, and improvable.
I agree to the high level metrics and indicators, but the most important evaluation process is feedback and review. Always, seek feedback from stakeholders, including developers, operations teams, and end-users. Incorporate their input to refine the architecture.
Sustainable IT needs to be considered as most important aspect due to environmental responsibility, cost savings, regulatory compliance, innovation, and long-term viability. It aligns with global goals, enhances brand reputation, and reflects ethical values, making it essential for organizations in today’s environmentally conscious and competitive landscape.
