How do you prioritize problems when developing solutions?

We can't do everything - honest! It is, however, very hard to say no. In fact it's a learned skill to be able to say no with conviction. Prioritisation doesn't have to be a headache though and I find that the Eisenhower Matrix is a magnificent tool to work out what you must Do Now, Do Later, Delegate or Delete. This works in almost all scenarios and also gives you the ability to show your working. Leaders, empower your people to say no!

It is essential to commence by explicitly defining the problems or challenges you are encountering, while ensuring that you have a comprehensive understanding of each problem's root causes, impact, and scope. This approach will enable you to gain a deeper insight into the issues at hand and provide a strong foundation for developing effective solutions or strategies. Therefore, it is crucial to take the necessary time to analyze and evaluate the problems thoroughly, so as to avoid overlooking important details that may impede the progress of the entire project. By doing so, you can enhance your chances of achieving the desired outcomes while minimizing the risks and uncertainties that may arise during the course of the project.

Using quality management principles, tools and techniques among teams like ISO quality management principles, PDCA cycle, SMART framework, questionnaires, cause effect (fishbone) diagram, pareto analysis, open-ended interviewing, brainstorming, audits, inspections to identify the problems & classify them in a prioritised fashion. The classification should be prioritise to mitigates shortfalls in systems, processes, procedures and the organisation for effectiveness and efficiency that satisfy needs and requirements of customers. Audits, inspections, analysis, reviews to include lesson learnt, and evidence based decision-making carried out in a continual manner, for continuous improvement that assures quality products & services for growth.

Prioritization is a key element in achieving efficiency, effectiveness, and success in various endeavors. Prioritization helps allocate limited resources, such as time, money, and manpower, to the most critical tasks or problems. This ensures that resources are used efficiently and effectively. Prioritization enables teams and individuals to focus on the most important and strategic objectives. It helps prevent scattering efforts across too many tasks, ensuring that energy is directed toward goals that matter most.

Identifying problems is a crucial step in the problem-solving process. Here are some systematic approaches to help you identify problems.Clearly articulate the objectives and goals of the project or organization. This will provide a framework for identifying problems that hinder the achievement of these objectives. Engage with stakeholders, including customers, employees, and other relevant parties. Conduct interviews to understand their perspectives, experiences, and any challenges they might be facing. Perform a SWOT analysis (Strengths, Weaknesses, Opportunities, Threats) to systematically evaluate internal and external factors that may impact the organization. Weaknesses and threats can be potential areas of concern.

This is critical step in prioritization. Also collaborate with others stakeholders for right priority. You would need to consider multiple factors when you rank. Put all facts on the ground. Your perspective team perspective. And yes Eisenhower matrix is good way to finding. But in the end come like.. LIST is the best prioritization tool. So put ranks and put them in list. So there is one straight order to all problems and then move towards solutions in that sequence.

One can develop a prioritized list of problems that guides the allocation of resources and efforts toward addressing the most critical issues first. Regularly review and update the priorities as the project or organizational context evolves. Assess the scalability of solutions to each problem. Prioritize issues that, when solved, can lead to scalable and sustainable improvements rather than temporary fixes. Seek input from key stakeholders, including team members, customers, and subject matter experts. Consider their perspectives and prioritize problems that align with their priorities and concerns. If applicable, consider regulatory requirements and compliance issues. Prioritize problems that, if left unaddressed, could lead to legal.

Consider using FMEA (failure mode and effects analysis) to prioritize those problems. Consider consulting with your insurance actuaries when evaluating likelihood. Use third party (not the problem owner) in evaluations of impact and likelihood based on the enterprise. The problem owner will always rank their problem as #1 in order to get resources assigned.
