How do you plan a community celebration that showcases your impact and inspires donors?

In every event we run, we always ask ourselves, "How do we ensure there is community in this event?" Yes, we could run a networking event or a big panel with speakers, but where is the community in that? We have a community of hundreds of immigrant entrepreneurs and professionals in Canada, so we always do events that promote the beautiful diversity of our community and of Canada. Our next event is a community potluck where everyone brings a dish that represents where they are from. We hosted our first one back in October, and it was a huge hit!

I focus on creating an event that tells our story and demonstrates the tangible results of our work. I start by defining clear goals and objectives for the event, ensuring that each element aligns with our mission. I engage donors by highlighting success stories and showcasing the difference their contributions make. Interactive activities, such as workshops or exhibitions, allow donors to experience our impact firsthand. I also use compelling visuals and narratives to convey our achievements and future aspirations.

I find it helpful to divide your event goal and audience into a main goal and a main audience you want to serve as well as a secondary goal and secondary audience. For example, if I am planning an event to honor our top donors I will also want prospective donors to be present so they can see how we appreciate our existing donors and use their donations. Your prospective donors will also have the opportunity to network with your existing donors. Thus, you are meeting two goals (honoring existing donors and raising awareness with prospective donors) and serving both audiences.

Clearly outline your goals for the event. Do you aim to celebrate achievements, strengthen community bonds, or inspire continued donor support? Identify your target audience, considering community members, donors, and other stakeholders.

Be sure to have a monthly event calendar that mixes formats and themes, to keep the variety. At the same time, periodically re-use event formats, so that your community members can quickly remember their experience and can look forward to it; as I am the Community Manager of a Software Engineer online training Program, I ensure that the topics are always in line with the learners' interests and aspirations as they work to achieve their certification. How do I do it? 1. Organic research, browsing through the Community platform and read/participate in conversations; 2. Get the insights of super users by reaching out to them in DM; 3. Quick polls on our community platform: members simply need to react with an emoji; 4. Feedback focus groups

Find a theme that represents your community. My two cents –?keep your event engaging and fun. There are too many events out there that are all the same. You need to do something unique –?play a game, have a fun theme, activities, etc. You can only attend so many networking events with a long panel and speakers. And if you are going to do a panel, keep it short. Don't have attendees sit there for over an hour.

Yes, it is important to engage your donors/partners/sponsors. Incorporate them in the event, give them a bit of a platform, etc. However, it is crucial that you do this in a non-salesy way. No one likes being sold to. For our events, we incorporate partners/sponsors/etc. through giveaways, raffles, door prizes, etc.

Make the donors part of your event, whether by asking them to share on stage their motivation to invest in their community or an inspirational talk about how your community created a change. Additionally, leverage the celebration to announce new activities and programs, plans for the upcoming months, or any other exciting news. You might consider inviting prospect donors and share with them various ways to donate.

Depending on your mission, I believe it is paramount to center you client or charity recipient in this work. Go beyond sharing a story, but invite the community you are serving to the event. Donors donate to impact lives and I believe that uplifting the stories of our communities serves as an initiator for empathy, human relation, and makes the mission real for the donors. This inspires donors, and keeps them engaged in the mission longer term. Relationships run the world, so build relationships between donors and the end recipients.

I highly recommend gathering post-event feedback from your community as soon as you can following an event. The longer you wait to request the feedback the less specific and actionable it will be for you. Also, actually reviewing and acting on the feedback is crucial. I have seen so many organizations go through the step of collecting feedback and the results sit on a shelf (or a hard drive) just gathering dust.

Using community events as a platform to share work and impact is essential, but it's 10x more powerful when you have someone else telling the world your story. Engage your donors within your programme by giving them a platform to share their story, their impact, and why they wanted to give back. It inspires others to do the same without it feeling like a hard sell.
