How do you measure and improve your active listening and probing skills as a requirements analyst?

As a requirements analyst, I sought to improve my active listening and probing skills by setting specific goals and seeking feedback. During stakeholder meetings for a software project, I focused on maintaining eye contact, summarizing key points, and asking open-ended questions. After each session, I requested feedback from stakeholders on how well I understood their needs and areas for improvement. Through this process, I learned to probe deeper into ambiguous requirements, using techniques like the "5 Whys" to uncover underlying issues. Over time, stakeholders noticed better comprehension and collaboration, leading to more accurate and actionable requirements.

Understanding what listening is marks the signs of a good listener. How to listen? – pay attention, ask questions, defer judgment, paraphrase, avoid interrupting the speaker, learn about the speaker, provide feedback, use body language, avoid distractions, offer empathy, summarize aptly, adopt a listening stance, asking clarifying questions, don't mentally prepare a rebuttal, practice nonverbal communication, put aside distracting thoughts, reflect on what was said & share with relevant audience. Probing skills – Probing is clarifying further details, after listening. To probe is to ask the speaker to share more details specifically on the subject & topics close to the subject. Asking open-ended questions is an example of probing.

Active listening & probing skills have metrics to measure their efficiency. If you set goals of improvement so that you become a better requirement analyst, you have something tangible to work for. When I used to handle calls with various stakeholders, I would furiously note down everything, so most of my work was done while on call itself. As I kept up this note-taking, I realized how to eliminate repetitive questions, how to change my tone from one customer to another depending on their co-operation, how to escalate predictably so that it gets me better results. Consequently, these lessons learnt helped me set improvement goals for all calls with all my customers. Setting goals and tracking progress improves discipline.

Identify a mentor who ruthlessly keeps your listening skills on their toes. Make a worksheet from his feedback & work on striking off all the negatives he stated. If you are familiar with listening tests like IELTS, practice them to improve your score. Listen to podcasts with different accents so you can listen to any client. Time your speaking, limit it & exchange that time to listening to the client. If you are an introvert, adopt self-affirmation & mental preparation strategies to move to ambivert mode. Learn to read between the lines, what the client is not saying but intends you to hear. Dig deeper in case the requirement is a critical one – doing details at this stage is better than a developer asking for clarifications later.

Convert every conversation into a listening activity. Even a fruit vendor on the street has interesting things to say about the current market prices of his trade. After the talk is over, come back & make notes of what went on. Compete with yourself to recall at least 75% of the conversation, ranking yourself every time. Keeping your memory recall strong is essential. Carry a notebook to jot down inspirations from what you read or watched on television. Select some interesting, curiosity-inspiring pictures & describe them to improve your writing as well, as listening/reading & writing go hand in hand. Listen to podcasts of good speakers & practice public speaking. Then listen to a recording of your speech, looking for points to improve.

If we try to improve something, we definitely need to watch over that & discover whether we were successful. Watching ourselves thorough so many audio recordings of calls/meetings with customers is bound to lead us to understand our progress through all the time spent. The official performance review where you self-assess your performance & then your manager assesses & gives a final grade is not the only feedback, albeit an important one. There are unofficial ways of gathering feedback - asking your customer/manager/colleagues on the same project & other team members local/remote you usually move around with. Reaching out to requirements analysts on other teams within your org will give you precious objective criticism that is priceless.

There is no Chief Requirements Officer. :) But we know an RA (Requirements Analyst) would be able to peak in their career by being an advocate of the latest tech as well as soft skills in requirements analysis. These need networking apart from hard-core studying/upgrading your skills, including using better tools that have appeared in the market. Improving continuously as a term has been bandied about all over the tech world. There is a reason. It immediately tells us that our job will get better & better every day, making us love it more. Systemic models & CI software tools are aids which requirements analysts can use to stay in top game. Requirement management/analysis has a lot of material published on it. CI is a way of using them.

I was deputed in UK in 2004 on an Enterprise Architecture Integration (EAI) project using Mercator (today IBM DataStage). Billed at 425 GBP per man day, this speaks volumes about the worth of words I would listen to every day. The job was to mediate between my British logistics client & freight forwarders to agree on a common data message format to be sent to SCI2 (Supply Chain Integrator v2) for reporting, integration, optimization & billing. My 20-min calls were stretched only if there were doubts/disagreements. My status report was color-coded to include delays/dissent. I believe I helped calculate something abstract. It was a success story appreciated by my clients who understood who their difficult clients were from my timesheets!
