How do you manage tenant expectations regarding maintenance without compromising cost-effectiveness?

I usually put in my leases language that states any repair where the cost will be X or higher is the responsibility of the landlord and anything under that amount is the tenant's responsibility. This should help to eliminate calls regarding minor issues. Another way to handle it is to stipulate that any repair that would require hiring a licensed and insured professional is the responsibility of the landlord and anything less than that falls on the tenant.

The best way is to set the expectations from the start - before they move in. Make sure that a new resident understands "routine" maintenance and what constitutes "emergency" maintenance to avoid any kerfuffles...because their idea of a maintenance emergency and management's ideas probably won't be in alignment. Make sure that incoming residents also know the process and how maintenance requests (unless a qualified emergency) are tended to in the order in which they are received. Having these policies clearly laid out and understood from the start is the key to getting things off on the right foot from the beginning.

Use "How To" videos that are easy for the resident to access. At my company SalesMail, we have a QR Pro that generates QR codes that are linked to video messages. We have many operators who generate QR Codes, and have them printed and laminated. They then post these on certain maintenance related items in the apartment prior to move in to educate residents...for example, a QR code on the Garbage Disposal that launches a "How To Reset Your Disposal" video. Or, a tricky thermostat has a QR code on it at move in, that launches a video that walks the resident through how to properly use that thermostat. 2 ways you to leverage video & keep maintenance calls to a minimum for routine items that residents typically can take care of themselves.
