Process mapping is about mapping the reality of work / a process, and so it is important to be honest, open and transparent with stakeholders. You might not end up mapping their pet peeve, or you might be making changes for the good of the end to end stream, which impacts their daily work. The key part is setting expectations by communicating the end goals / wider objectives, and engaging in conversations around what’s in and out of scope. I don’t think you can be completely rigid around the scope when you start, because you wouldn’t be process mapping if you already had 100% visibility of what was really happening. Being agile and flexible will also show your stakeholders that you are listening to them and accommodating their insights.

Then use a prioritization matrix to understand the contributions, needs and requirements on who needs to fall under RACI. This will help to narrow communication requirements. Next, identify the key components of the process, including production, inspection, transportation, and storage, to have a complete view of what will be mapped.

Gathering input from key players, explaining the process and its goals, and regularly updating them on progress are crucial for identifying bottlenecks and ensuring alignment across the value stream.
