Ensure risks are defined, refined and maintained in the risk register, from the start. Seek lessons learnt of similar projects from both internal and external members. When the unexpected situations arise, seek help, understand the issues and break them down into bite size tasks/projects.

Interesting concept! Planning issues! Perhaps risk planning and management is what you are referring to? That should be a given in FM projects and should be in a book of risks found in that type of project. Unknown unknowns will be very rare.

The basis for being able to do this is making sure your R&R is clearly defined with proper contact information so you can easily communicate with the proper "group" within your project. I usually keep two types of Roles associated with every contact in my R&R. Their company role and their Project role. I also assign a category (relationship to the project) so I can easily sort and communicate with types of project team members.
