How do you handle sensitive or confidential data from user research?

Designers are always expected to use "empathy" in everything they design. However, I have come to believe that along with empathy, authenticity is just as important when it comes to talking to your users or customers. This means being honest with them, about your intent, your limitations, and also about what you need them to help you with. At each step of the way, ask yourself, "If I take this action, how would it make them feel?", "Are they informed enough about consequences and limitations?" If you treat your users as your partners, you automatically respect them as people, whether it is with regards to privacy, ethics, product, or any other small or large detail of your project.

In my experience in healthcare and education, participants willingly open up and share sensitive information. First and foremost, I respect that this dialogue is only possible because of trust. I recognize the responsibility that comes with earning this trust and the expectations to do something meaningful with the information. Participants open up because they're hopeful: they've started to imagine a world that challenges the status quo and believe that you are playing a part in making it a reality.

Handling sensitive or confidential data from user research is crucial. Here are the three most important steps we follow: Data Anonymization: Remove any personally identifiable information. Secure Storage: Store data in encrypted files and use secure servers. Access Control: Limit data access to authorized team members only. These steps ensure the privacy and security of user data throughout our research process.

This means clear explanations, comfortable participation options, and avoiding sensitive questions or bias. Protecting data is primary. As much as protecting data is important, so is having a plan to execute when the data is breached. Make sure to store it in a highly secured place and erase it once it is no longer necessary.

Any survey platform you utilize should have information available as to its encrypted storage of collected data and other insights to its approach. Consider adopting a practice of purging collected data as soon as possible after you've collected and analyzed it. Manually review or utilize AI to review submissions to identify any inclusions that can be redacted, such as if someone included their name, email address, or other information beyond what was actually requested. Familiarize yourself with what qualifies as PII or SPI so that you can be on the lookout for its inappropriate collection.

Regularly assess and update data security protocols to address evolving threats and vulnerabilities. Be transparent about data handling practices and accountable for any data breaches or misuse.

More than an ethical principle, this is the law in the EU. Building a policy and a set of standards for your team will protect your company from potentially serious penalties.

From encryption to access controls, leave no stone unturned in protecting the data entrusted to you. Make your teams undergo regular training to stay ahead of potential security threats.

"Unlike other types of research, "User Research" is unique. Every human has a soul; in the same way, every user has a user story. These stories are mostly not quantitative data that can be statically analyzed; they involve human emotions, values, and behaviors.
