How do you handle information requests from outsiders?

Analysis the request. What kind of information and how much confidential. Usually no company details should be shared under privacy policy. Only information thats is meeting ethical standards will be shared

One place you can start is have your target audience measured for where they are in terms of knowledge about the requested information! And remember, communication requires trust. An inappropriately targeted information can result in trust in the organization being quickly eroded and you don't want that! Furthermore, it helps if staff, including those who don't specialize in the area being provided with basic information rights training to ensure requests are identified and passed to the relevant authority. On the other hand, trust in the information can be influenced by how higher up or lower down the organization the staff releasing the information is. The audience tend to see more transparency in information coming from lower-level staff

When an outsider asks for information, take a moment to understand what they're looking for. Clear communication is key. Ask questions if needed to ensure you're addressing their request accurately. Respond promptly to requests. Even if you can't provide all the requested information immediately, acknowledge the request and provide a timeframe for when you can fulfill it.

In my experience, information request from outside client is a normal occurrence in any business that provides service/ goods in a market. It is good business practice to assess the type of information being request to determine the level of confidentiality, authorization level of the requester and whether you are even authorized to release same. I concur with the response above. Admins must be au fait with the company’s policy and procedure. You can’t go wrong if you stick to what’s noted in ‘black and white’.

It is best to ask the requester to send an email and if possible cc your immediate boss or manager so that he or she will be in the know. In so doing the requester will be careful with what to ask for. This will also help the manager to even give you guidelines on what information you should give out and what not.

To verify someone's identity, we should always do things in writing. Always entertain emails with valid domains or take the requester to some professional forum so that could authenticate his identity. If one is from the company, professionally, he/she would always mention their company's data and profile in the signature. It's our responsibility to take care of such matters as administrative assistant. So that could use data as proof if whenever required.

It is essential for a good administrator to do his due diligence as regards the identity and authority of anyone requesting for information about the company. Every request must be formalised and appropriately channeled before it is attended to.

In my business as a Bonding company owner, we have client confidentiality and it will take a warrant to get our information. I have paralegal training also.

I do agree that provided information should be precise and to the point. Secure professional way of talking is to communicate to the point. Moreover, always suggest the best things and ideas while replying, but remember to follow the protocols of the company.

Never give out false, misleading, or inaccurate information about your organisation. It may affect the overall image and reputation of the company. The information should be simple, clear and concise. Don't divulge any vital information without caution.

Absolutely, accuracy and relevance are key to an organisation and individual, for their decisions are dependent on what they are given otherwise, you could be cited for misleading . As the person providing information you need to understand the scope of what they are asking for or you may end up providing bulky and irrelevant information which could be a waste of time and resources. Let them define exactly what they want and that could help with the accuracy too.

Certain information can be obtained off the company website, so where possible point them there. If it's information that is only accessible internally, as long as it's within the protocol to share, less is more; so only provide information that is relevant to their request. And don't share any internal documents unless specifically approved by the relevant leadership.

-One thing I’ve found helpful as an office administrator in an educational setting is to simply refer any question I don’t know to the main emailing system and ask a professional in their respective department later. Other than transferring, this saves time in a pinch and can avoid having to put someone on hold for a longer period of time. As far as continued accurate information, I refer them directly to where it’s written so that they can follow along after asking if they are near a computer or have access. These days, data is available and visualization will generally help others feel more comfortable with the information being told to them. In a mixture of both of these two simple actions can make life as an administrator much easier.

Depending on the requester and what they are requesting, don't pass on phone numbers or other personal contact information. And when you're not sure how the person will feel about having their email or number shared, always ask.

- One thing which I have been personally practicing no matter who requested the confidential information such as contact number and email address I will given them mine so they can write to me their concerns and will give them time frame to get back with relevant required information once discuss with my seniors. In this way am able to protect confidential information.q

In my opinion the best way to maintain confidentiality to share information only with the concerned as per hierarchy. If required to discuss with someone else then it should always be on the written suggestion of your senior.

Maintaining documentation in hard and soft copy is always been the cornerstone of the Administrative Assistant position. And I always remain active with this throughout my career. Without maintaining documentation, you can't refer future scenarios to the past and would have to do complete work again to respond to requests. And the higher probability is that the response may differ from what was in the past. Maintain documents so that if someone replaces you he could refer to your decisions and responses, as per situations.

Documentation is essential in every formal setting. Be accountable and ensure that you protect yourself from anything that can bring problem in future. Keep appropriate record of all activities and be proactive.

Always leave traceable tracks, leave a story for other people to follow even when u are long gone . Always document information and make sure it is as formal as it can possibly be .

Email communication and central record keeping of events/requests is the best way to keep everyone safe and accountable. Having a phone log of when certain requests came through also helps if there is a concern over security and legality.

Feedback is very important to grow in the system and for the system itself. Always, ask the client for feedback, if it's good you can use it as testimonials, and if reciprocal it would be helpful for improvement. So, that you could convert negative to positive in the long run.

Feedback comes in numerous forms which can be either helpful or detrimental. Depending on your organization and position, you may have certain policies and procedures you must follow. Which in turn you have no control over being able to implement change; even for the better. Focusing your energy on things you cannot change, only breeds frustration and resentment. Those both impact your performance negatively which cause low performance and reoccurring errors. If you find yourself in this position, there are a few things you can control: - Your attitude (tone, demeanor, etc.) - Inform the requester of your company policy and procedures you must follow - Lastly, try to control the things you can change and focus on the positive!

While you wait to verify the requester's authenticity, it is important to keep them engaged so that they don't run out of patience. Verification of their identity should also be done as prompt and discreetly as possible in other not to present a negative impression to the requester

I don't understand the need to be discreet. Honestly, I'm often treated as if I am the identity thief and it's very frustrating.

Consider having outsiders sign non disclosure agreements to legally bind them and make them aware the importance of confidentiality. This is something we have practiced in my institution and it has worked well

Ensure that you are in the right position to give the needed information. This is to ensure that the information you are giving out is accurate and the responsibility of the outcome will be borne by you.
