1 Set clear goals and expectations

Before you start prototyping, make sure that everyone in the team understands the purpose, scope, and timeline of the project. Define the learning objectives, the target audience, and the success criteria for each prototype. Communicate the roles and responsibilities of each team member, and how they will contribute to the feedback process. Establish a common language and terminology for the project, and avoid jargon or acronyms that might cause confusion.

When I gather my middle school students for a new activity, they anticipate group work! Yes, this former old school teacher has become a lover of all things dealing with collaboration. Currently, my 6th grade scientists are researching particular natural disasters in various locations of the world to create their own mini-lesson to teach the rest of the class vocabulary, geography, human condition, protection of natural resources, and cultural responsibilities via Prezi Presentations. Yes, my students are creating check points, embedding videos, and using high definition graphics while becoming experts in preparation to be able to use these same skills in the real-world! It’s necessary to not hold these kiddos back by dumbing down!

2 Use a collaborative platform

One of the challenges of rapid prototyping feedback is to manage the multiple iterations and versions of the prototypes, and to keep track of the feedback and changes. To avoid duplication, inconsistency, or loss of information, use a collaborative platform that allows you to create, share, and edit the prototypes online, and to collect and organize the feedback in one place. Some examples of such platforms are Google Docs, Miro, or InVision. Make sure that everyone in the team has access to the platform, and that they follow the naming and labeling conventions for the prototypes and the feedback.

Another way that we used in the last year or so was actually through the old-school sticky notes with the same writing utensil (to try a team's best not to consider who wrote it and eliminate bias). Then, after jotting down ideas for a limited length of time, we compared notes and forced connections between a string of them. We've used this leading into 5 Why's and when planning goals as a leadership team, all the while maintaining open and proactive communication with the whole organization/team.

3 Encourage feedback and iteration

The essence of rapid prototyping feedback is to learn from the user's reactions and opinions, and to incorporate them into the design. Therefore, you need to encourage your team to give and receive feedback in a timely, honest, and respectful manner. Provide guidelines and templates for giving effective feedback, such as using the sandwich method (positive-negative-positive), or using specific, actionable, and measurable suggestions. Also, encourage your team to test and iterate the prototypes as often as possible, and to document the changes and the rationale behind them.

4 Celebrate successes and failures

Another way to foster a culture of collaboration and innovation in rapid prototyping feedback is to celebrate both the successes and the failures of the team. Recognize and reward the team's efforts, achievements, and learnings, and share them with the stakeholders and the users. Also, acknowledge and embrace the failures and the mistakes, and use them as opportunities to learn and improve. Create a safe and supportive environment where your team can experiment, take risks, and fail fast and forward.

5 Reflect and improve

Finally, you need to foster a culture of continuous improvement in your team, by reflecting on the rapid prototyping feedback process and its outcomes. Conduct regular debriefs and retrospectives with your team, and ask them to share their insights, challenges, and suggestions for improvement. Use tools such as surveys, polls, or SWOT analysis to gather feedback from the team members, and to identify the strengths, weaknesses, opportunities, and threats of the process. Use the feedback to refine your prototyping methods, tools, and practices, and to plan for the next steps.

This article focuses a lot on the tactical activities within getting this right, but something that often goes overlooked is the importance of trust for this to happen. If you do not have an environment built on trust, people will not feel safe collaborating and innovating. And, to be clear, this isn't something that happens overnight or with a quick icebreaker. This is something you have to be intentional about creating by inviting different perspectives, expecting mistakes, and modeling positive discourse.
