How do you evaluate and compare different PDM software vendors and features?

Selecting the right PDM software is pivotal for streamlined product development. Prioritize vendors with strong domain expertise aligned with your industry. Assess their solutions based on: -Core functionalities: Data management, workflow automation, collaboration tools, and robust search capabilities. -Scalability: Ensure the software can accommodate future growth and increasing product complexity. Integration capabilities: Seamless integration with existing systems like CAD, ERP, and PLM is essential. -User experience: A user-friendly interface enhances adoption and productivity. -Security: Robust data protection measures are paramount. -Vendor support: Evaluate implementation assistance, training, and ongoing support services.

As PM, I have always followed the recommendation to ideate and brainstorm on whether to buy, build and/or partner before initiating and executing the feature design and development. For "Buy-Build and Partner" analysis, it includes evaluating and comparing PDM software vendors and features, consider key criteria to align the solution with your organization's needs. Start by assessing functionality, ensuring the software supports essential tasks like version control, document management, and collaboration. Evaluate integration capabilities to seamlessly connect with existing tools and workflows. Evaluating and comparing PDM software vendors involves several key steps: 1- Define Requirements: Determine your business needs, such as scalability and integration. 2- Compare Features: Assess key features like data modeling, automation, collaboration, and security. 3-Check Vendor Reputation: Investigate vendor reliability, support quality, and market presence. 4-Analyze Costs: Compare pricing, implementation expenses, and ROI. 5-Review Feedback: Read user reviews and request demos to gauge performance and usability. 6-Ensure Compliance: Verify adherence to industry standards and regulations.

When selecting PDM software the focus should be on the need of PDM. Each PDM software has a USP. For example For a manufacturing company streamlining design processes, the chosen PDM software must prioritize real-time collaboration, efficient version tracking, and integration with design tools. Technical requirements, including CAD software compatibility and scalability for growing data volumes, are vital. Business-wise, adherence to industry compliance standards is crucial. Aligning the PDM strategy with specific goals transforms the software into a strategic enabler, not just a data repository. This ensures adaptability to future needs, contributing to a more agile and competitive product development process.

The process we always use when running selection projects (20+ in the past 5 years) roughly goes as follows: 1. Align stakeholders around use-cases and requirements: you want users to understand each others point of view. 2. Define key use-case scenario's: every vendor will answer your list of 500+ requirements with their list of 500+ features. That's interesting data for sure, but not information on which to base a decision. We synthesize identified requirements into key scenario's for users 3. Invite vendors to demo these features live for the stakeholders: it's easy to list a feature on a spreadsheet. Showing how a feature is used in a real scenario forces both vendors and decision makers to evaluate a real usecase.

Leveraging my experience in EMS-focused PDM evaluation, I've refined a comprehensive 18-point assessment process. Engage with vendors by requesting demos and querying about specific use cases relevant to your needs. Assess their customer support responsiveness and check for any hidden costs. Prioritize vendors with strong track records in your industry and those offering flexible customization options. This method ensures you select a vendor aligned with your strategic goals.

Data plumbing/IT (storage, enterprise architecture, MDM etc) is 'easy'. What is harder is the UX and users feeling like the business is working to satisfy the system rather than the other way around. System selection projects are often IT lead, which means that the selection and implementation becomes a technical endevour and, as this article proves, UX becomes a later consideration. My advice, if you want to be successful, put the people who will be using the system to deliver their unique value front and centre.

Considering user experience and customer support is paramount in choosing a PDM software. Often, customer support becomes an afterthought rather than a decisive factor in product selection. The user experience extends beyond the user interface, encompassing the entire journey from acquisition to after-sales support. Drawing a parallel with purchasing an iPhone exemplifies this perspective. The user experience begins with the purchase process, continues through usage, and extends to after-sales support. In the PDM context, user-friendliness and intuitiveness are key components of a positive user experience.

Based on my experiences over the last 23 years, I would say 30% of success can be attributed to the system (the easier it is for people to use the better). 70% of success relates to how well the business aligns around all of the other things that have to happen to effectively derive value from the system (culture, processes, communication, habits etc). In summary, don't sweat the decision, make a choice that you are 80% aligned on with a vendor/integrator you trust, and make it work. Just in the back of your mind be prepared/flexible to change in 2 years once you've learned from the experience (if necessary).
