1 Define the topic

The first phase of AI is to define the topic or theme of the meeting. This is the core question or challenge that you want to explore and address with your participants. The topic should be framed in a positive and affirmative way, such as "How can we create more value for our customers?" or "What are the best practices for remote work?" Avoid negative or problem-oriented topics, such as "Why are we losing sales?" or "What are the challenges of working from home?" The topic should also be relevant, clear, and engaging for your audience.

2 Discover the strengths

The second phase of AI is to discover the strengths and successes of your group or organization. This is where you invite your participants to share stories and examples of when they have experienced or witnessed the topic in action. For example, if your topic is "How can we create more value for our customers?", you can ask your participants to recall a time when they or their colleagues delivered exceptional value to a customer. You can use various methods to collect and share these stories, such as interviews, surveys, brainstorming, or storytelling. The purpose of this phase is to appreciate and celebrate the positive aspects of your current reality and to identify the factors that contribute to them.

I used appreciative inquiry at the beginning of a month-long summer school program to energise and encourage our instructors to dream big and connect with their students. Because the instructors suggested contributing to our social media to connect with students, I know they have ownership of engaging with our students in this way. It's going to be so much easier this year asking for their contributions to our social media content.

3 Dream the possibilities

The third phase of AI is to dream the possibilities and envision the future. This is where you encourage your participants to imagine and articulate their aspirations and hopes for the topic. For example, if your topic is "What are the best practices for remote work?", you can ask your participants to describe what their ideal remote work environment would look like, feel like, and sound like. You can use various methods to stimulate and express these visions, such as drawings, collages, scenarios, or metaphors. The purpose of this phase is to inspire and energize your participants and to create a shared vision of the desired future.

4 Design the actions

The fourth and final phase of AI is to design the actions and plan the implementation. This is where you invite your participants to translate their visions into concrete and realistic actions and steps. For example, if your vision is to create more value for your customers, you can ask your participants to identify and prioritize the specific actions and strategies that will help you achieve that goal. You can use various methods to facilitate and document these actions, such as action planning, prototyping, or roadmapping. The purpose of this phase is to align and commit your participants and to create a clear and actionable plan for change.
