Understand the goal of asset management vs configuration management. Not all assets are CIs and not all CIs are assets. Then decide which assets to track and which assets are CIs and understand how those are mapped. Determine the criticality of those assets. That will inform your DRP/BCP planning.

While it is possible to adopt and adapt IT Service Management (ITSM) practices without a Configuration Management Database (CMDB), you will never be able to achieve the best outcomes. Incident, Event, Change, Release, etc. all rely on a CMDB where the Configuration Items (CI) meet the three C's (Completeness, Correctness, and Compliance.) The more CIs within your CMDB, the larger the effort to maintain, so that is where scoping it correctly is critically important. CIs to consider in your CMDB are Services (e.g. network, hosting, etc.), Hardware (physical and virtual), and Applications (databases, COTS and custom.) One final point, you MUST include all of the CI stakeholders in the process, the CMDB is too complex to be built in a silo!

Align with Business Objectives: Understand the overarching business objectives and ITSM goals that the CMDB should support. Ensure that the CMDB scope is defined in a way that directly contributes to achieving these goals. Collaborate with Stakeholders: Engage with key stakeholders, including IT leaders, service managers, and business representatives, to gather insights on their requirements, priorities, and expectations regarding the CMDB scope. Document Requirements: Document clear and specific requirements for the CMDB scope based on the identified ITSM goals, service dependencies, regulatory compliance needs, and strategic initiatives of the organization.

From my experience, there are 3 main approaches to identifying your CIs. 1. Automated Discovery Tools: Implementing automated discovery tools such as network scanners, agent-based systems, or CMDB discovery modules can help identify CIs across the IT environment. 2. Stakeholder Interviews and Workshops: Engaging with stakeholders across all departments, including IT ops, infrastructure, applications, and business units, through interviews & workshops can provide valuable insights into the organization's IT landscape. 3. Documentation Review & Asset Management Systems: Reviewing existing documentation, such as asset registers, service catalogs, incident reports, and change records, can help identify CIs and their interdependencies.

The third step involves identifying the attributes and relationships of your Configuration Items (CIs) that fall under the purview of your Configuration Management Database (CMDB). Attributes refer to the specific details or qualities of your CIs, such as their name, type, status, location, ownership, version, and more. On the other hand, relationships denote how your CIs are interconnected or dependent on each other, including parent-child, peer-to-peer, or supplier-customer dynamics. It's crucial to pinpoint the attributes and relationships that significantly contribute to your IT Service Management (ITSM) processes and objectives.

Put your CMDB scope into action within your chosen CMDB tool or platform, adhering to the top standards and best practices for CMDB setup and design. This includes employing a unified data model, assigning a unique identifier, establishing a data dictionary, and implementing a data quality framework. Moreover, it's crucial to link your CMDB with additional ITSM tools and data sources, including the service desk, monitoring systems, and asset management, to keep your CMDB consistently updated and in sync with the most current details on your Configuration Items (CIs).

Defining a CMDB scope is essential to focus efforts, resources, and attention on capturing relevant CIs that are crucial for IT service management. It ensures clarity on what should be included, helping to manage the complexity of the implementation process, maintain data accuracy, and align with organizational goals, ultimately optimizing the CMDB's effectiveness in supporting IT operations and decision-making.

The purpose of the CMDB is configuration control of the items it contains (CI's). In IT, there is a lot of data about IT assets and their operational status, but generally this data is not used for configuration control but rather for operational, financial or legal control of the asset. A rule of thumb: the only configuration items that are recorded are those that the organization wants to control throughout their ENTIRE lifecycle. This means that EVERY change (corrective or improvement) moves the CI towards a new version. Therefore the life cycle of the CI is completely traceable. If the organization believes that it is too much to record a change to create a new version of the CI, that CI may not be a configuration control candidate.

Regularly update and adjust your CMDB scope as necessary. Monitor its performance and value against your ITSM objectives. Utilize feedback, reports, dashboards, audits, and reviews to evaluate the CMDB's accuracy, completeness, consistency, and timeliness. Identify and address any discrepancies, gaps, or errors in your CMDB data and scope. Adapt the CMDB scope to align with changes in your IT environment, services, or objectives.

Scope of the CMDB refers to CI classes and attributes. Since it takes resources to implement and maintain every bit of scope, everything in scope must align with business objectives. There should be a governance mechanism that allows for increasing/changing scope due to changes in business objectives. Lastly, any scope that is unneeded yet maintained is a waste so there should be constant evaluation of alignment with objectives.

Continuously refine your CMDB scope in line with your ITSM improvement cycle. Aim to boost the quality, usability, and value of your CMDB data to better support ITSM processes and objectives. Use CMDB insights to enhance IT operations, services, and results. Stay updated on CMDB management trends, including artificial intelligence, automation, and cloud solutions.

There must be a governance mechanism for changing scope to align with business objectives. This governance should include representation from all stakeholder groups. The CMDB's sole purpose is to provide great data for stakeholders to make great decisions.
